OVERVIEW

As the Division Coordinator for senior JLL Work Dynamics leadership, you'll play a key role in the successful growth of our business. You will support our Technology Leaders and collaborate across the team and organization to provide phenomenal support. This critical role relies on precise exe c ution, excellent communication, and creative thinking to ensure the team has everything necessary to achieve the ambitious goals of the portfolio. As a strategic partner to exe c utive leadership, you will serve as a critical interface between senior leaders and key stakeholders. Responsibilities
  • Provide comprehensive senior- level administrative support, acting as a trusted partner to leadership
  • Serve as a gatekeeper and advisor to exe c utives, helping prioritize commitments and allocating time to strategic initiatives
  • Schedule and manage complex calendars and intricate travel arrangements across different time zones with high attention to detail
  • Exe rcise significant decision-making authority on behalf of exe c utives regarding time management and commitments
  • Expense reconciliation and report management, including oversight of budget tracking for exe c utive initiatives
  • Coordinate high-level meetings, board activities, and strategic communications on behalf of the exe c utives
  • Prepare briefing materials and background information for exe c utive meetings with key clients and stakeholders
  • Support administrative teams across the organization on various projects requiring exe c utive a lignment
  • Plan and exe c ute strategic leadership team meetings, exe c utive retreats, and client-facing events
  • Review, proofread, and contribute to strategic planning documents, presentations, and stakeholder communications
  • Act as the main point of contact among exe c utives, employees, clients and other external partners, representing exe c utives with authority
  • Manage critical information flow in a timely and accurate manner, ensuring exe c utive awareness of time-sensitive matters
  • Anticipate exe c utive needs and proactively resolve issues before they reach leadership
  • Lead special strategic projects and initiatives as delegated by exe c utives
  • Maintain strict confidentiality of sensitive business information, board discussions, and strategic plans
Qualifications
  • At least 5 years of assistant /coordinator experience supporting senior exe c utives, preferably in complex global organizations, or relevant other experience
  • Proven ability to handle confidential information discreetly in a diplomatic manner
  • Experience interfacing with board members, external stakeholders, and C-suite exe c utives
  • Unflappable, flexible, and can overcome a learning curve quickly
  • Exceptional judgment and decision-making capabilities when representing exe c utives
  • Extremely strong communication skills on multiple platforms and mediums (email, text, in person, video calls, etc.)
  • Ability to understand business priorities and align exe c utive time commitments accordingly
  • Tech savvy and familiar working in MS Office operating systems, WebEx, Teams, and Box
  • Skilled in PowerPoint slide design with an ability to enhance existing content, transforming cluttered layouts into polished, exe c utive-ready presentations
  • Bachelor's degree or equivalent experience preferred
  • Location is flexible with preference for someone within driving distance of a corporate office in Mountain or Pacific Time Zones
  • Position is remote with occasional travel to support large events and exe c utive meetings

Estimated compensation for this position: 75,000.00 - 86,800.00 USD per year

Note: This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
