Overview

As the Division Coordinator for senior JLL Work Dynamics leadership, you will support our Technology Leaders and collaborate across the team and organization to provide phenomenal support. This key role relies on precise execution, excellent communication, and creative thinking to ensure the team achieves its goals. You will serve as a strategic partner to executive leadership and act as a critical interface between senior leaders and key stakeholders.

Location

Remote role with preference for Mountain or Pacific time zones. Local travel to events and JLL locations may be required.

Responsibilities
  • Provide comprehensive senior-level administrative support, acting as a trusted partner to leadership
  • Serve as gatekeeper and advisor to executives, prioritizing commitments and allocating time to strategic initiatives
  • Schedule and manage complex calendars and travel across time zones with high attention to detail
  • Exercise significant decision-making authority on behalf of executives regarding time management and commitments
  • Expense reconciliation and report management, including oversight of budget tracking for executive initiatives
  • Coordinate high-level meetings, board activities, and strategic communications for executives
  • Prepare briefing materials and background information for executive meetings with key clients and stakeholders
  • Support administrative teams on projects requiring executive alignment
  • Plan and execute strategic leadership team meetings, executive retreats, and client-facing events
  • Review, proofread, and contribute to strategic planning documents, presentations, and stakeholder communications
  • Act as the main contact among executives, employees, clients and external partners, representing executives with authority
  • Manage critical information flow to ensure executive awareness of time-sensitive matters
  • Anticipate executive needs and proactively resolve issues
  • Lead special strategic projects and initiatives as delegated by executives
  • Maintain strict confidentiality of sensitive business information, board discussions, and strategic plans
Qualifications
  • At least 5 years of assistant/coordinator experience supporting senior executives, preferably in complex global organizations
  • Proven ability to handle confidential information discreetly
  • Experience interfacing with board members, external stakeholders, and C-suite executives
  • Flexible, proactive, and able to learn quickly
  • Strong judgment and decision-making capabilities when representing executives
  • Excellent communication skills across multiple platforms
  • Ability to align executive time commitments with business priorities
  • Tech savvy with MS Office, WebEx/Teams, and Box
  • PowerPoint design skills to create polished, executive-ready presentations
  • Bachelor’s degree or equivalent experience preferred
  • Location flexible with preference for driving distance to a Mountain or Pacific Time Zone corporate office
  • Remote position with occasional travel for large events and executive meetings
Compensation

Estimated compensation for this position: 75,000.00 – 86,800.00 USD per year. This range is an estimate and may differ based on qualifications, location, market conditions, and internal considerations.
