Job summary

Responsibilities

  • Operate a company vehicle for daily post office pickup and campus delivery.
  • Receive, sort, and distribute mail and packages to recipients.
  • Process outgoing mail including postage, labeling, metering, and carrier services.
  • Run FedEx shipping and dispatch processes.
  • Log and track mail using mailroom systems and devices.
  • Enter received goods into PeopleSoft and apply asset tags.
  • Maintain mailroom logs and shipping documentation.
  • Coordinate bulk shipments to hubs using cost-effective methods.
  • Operate mailroom equipment and forklift; perform basic upkeep.
  • Assist staff with mailing/shipping questions and options.
  • Support packaging preparation and courier tasks as needed.

Job Summary

Responsible for daily mailroom operations including receiving, sorting, processing, and delivering mail and packages for TriWest Healthcare Alliance. Performs scheduled mail pickup and delivery routes across the HQ campus, completes daily post office runs, processes outgoing shipments, and oversees the operation of mailroom systems and equipment. Supports Distribution Services and Corporate Facilities by performing tracking, logging, and basic equipment tasks.

Education & Experience
Required
  • High school graduate or GED
  • Valid Driver's License and clean driving record
  • U.S. Citizenship is required.
  • Must be able to receive a favorable Interim and adjudicated final Department of Defense (DoD) background investigation.
Preferred
  • Mail processing experience.
  • Previous experience in customer service
Key Responsibilities
  • Operate a company vehicle for daily post office pickup and drop-off, and for mail collection and delivery across the HQ campus.
  • Receive, sort, and distribute incoming mail, accountable items, packages, and vendor deliveries.
  • Process outgoing mail, including metering, labeling, postage application, and preparing items for USPS, Express, Certified, and other tracked services.
  • Run the FedEx shipping process, including preparing, logging, and dispatching outbound shipments.
  • Use mailroom systems (SmartTrack, PeopleSoft, postage meter software, handheld scanners) to log, track, and process mail, packages, and company-purchased items.
  • Inspect received company goods, enter items into PeopleSoft, and apply asset tags for financial tracking.
  • Maintain all mailroom logs, tracking records, mailing documentation, and equipment activity.
  • Prepare and coordinate bulk shipments to hubs using cost-effective delivery methods.
  • Operate automated mailing equipment, postage meters, handheld package-tracking devices, and the department forklift; perform basic equipment upkeep.
  • Assist internal staff with mailing and shipping questions and provide guidance on cost-effective options.
  • Support occasional packaging preparation and courier-related functions.
  • Maintain mailroom organization, supplies, and readiness for daily operations.
  • Perform other mailroom or courier duties as assigned; maintain regular and reliable attendance.

Technical Skills:

Knowledge of U.S. Postal regulations, and the operation of automated mail processing equipment; ability to acquire knowledge related to mail processing equipment; ability to learn and understand other department functions within the company to determine critical mail delivery locations for mail addressed to indeterminate recipients; ability to operate an electric fork lift; ability to continuously lift mailing materials or shipments of between 20 to 30 pounds unassisted for at least 20 minutes at a time; ability to lift up to 50 pounds unassisted; Ability to stand for long periods while operating equipment or sorting mail; ability to use software driven equipment and competent in the use of P/C's, e-mail and various Microsoft office products.

Working Conditions
  • Must maintain a good driving record to safely operate a TriWest company vehicle for daily post office runs and campus delivery routes.
  • Work is performed in an office and mailroom environment with frequent transitions to outdoor areas while driving or transporting mail.
  • Must be able to lift 20 to 30 pounds regularly and up to 50 pounds occasionally as part of mail and package handling.
  • Must be able to stand, walk, bend, and perform repetitive motions for extended periods while sorting, preparing, and delivering mail.
  • May be required to adjust work hours or cover alternate shifts to support business needs or time-sensitive mailing demands.
  • Must be able to safely operate mailroom equipment, including postage meters, automated mailing devices, handheld scanners, and the department forklift.
  • Level II IT Security Clearance required.
