Job summary

Glass America is seeking a Dispatcher in West Valley City, UT to lead technician scheduling, order parts, maintain inventory and ensure timely repairs. This on-site role supports A/P and admin processes while coordinating ETA communication with customers and vendors.

You will supervise technician production, drive daily goals, and handle back orders, parts returns and invoicing paperwork to keep operations smooth and efficient.

Qualified individuals, including those with disabilities and Protected Veterans, are encouraged to apply.Job Description:The Dispatcher position provides effective leadership, direction and motivation for all technician staff in order to insure that all customer vehicles repairs are scheduled in a timely manner according to Company standards.In addition, this position is also responsible for sourcing, ordering, receiving, and delivering parts to technicians in an accurate and timely manner. Inventory must be maintained and returns properly processed on a timely basis.****PRINCIPLE FUNCTIONS AND RESPONSIBILITIES****\*Including but not limited to:* Educate, train and maintain compliance with company standards.* Take the necessary actions to meet daily/weekly/monthly goals and objectives.* Effectively communicate to all subordinates.* Provide daily supervision and direction to all technician production staff.* Initiate or suggest plans to motivate technicians to achieve work goals.* Monitor the individual performance of the technician production staff on a regular basis.* Fax, telephone or otherwise contact vendors to order parts and document conversations in management system.* Compare invoices against requisitions to verify quality and quantity of merchandise.* Follow up on parts back orders and document actions in management system.* Coordinate returns and credits of parts and insure they are picked up daily.* Provide the A/P Dept. with the POP invoices for appropriate purchases.* Return and reorder damaged or defective parts.* Contact vendors for credits and process appropriately.* Notify CSRs and team when parts are on back order status. Effectively notate work order.* Conduct calls to consumers between the hours of 7:00AM – 9:00AM (local time) to confirm times the technician should be at their location (3 hour window to allow for add-ons).* Reshuffle routes as necessary and provide feedback to dispatcher so technicians are notified as to routing changes.* Field ETA calls from the customers (directly) and advise as to status.* Inventory ManagementOE Parts / Special Order* Order parts from select vendors* Follow up with vendors on ETA dates to ensure parts arrive on schedule.* Contact consumer when parts arrive and schedule for installation.* Secure vendor invoices from vendor/shop and provide copies to A/P.* Return parts to vendors as necessary.* Work closely and take direction from A/P.Aftermarket* Order Parts as directed.* Process part returns daily.* Confirm parts returns and credits from local distributors.* Confirm with technicians on a daily basis that there are no parts at their respective shops.* Confirm with local management on a daily basis that there are no unused parts at any location.* Work closely and take direction from A/P.Scheduling* Review dispatches/communications from technicians (Mobile Solution)* Alert Billing Department if jobs are completed and can be billed.* Receive contact from technicians in the event a job needs to be rescheduled.* Contact consumers to reschedule uncompleted jobs.* Contact consumers when OE/ Special Order parts arrive and schedule.****EDUCATION/QUALIFICATION/EXPERIENCE***** High School Degree**SUPERVISORY RESPONSIBILITIES*** Provide daily supervision and direction to all technician production staff.****SKILLS/ABILITIES***** Good communication skills, attention to detail and good follow up.****PHYSICAL REQUIREMENTS/ENVIRONMENTAL CONDITIONS****Place corresponding letter next to each category. “C” Constantly (6-8 hrs/day)“F” Frequently (3-6 hrs/day), “O” Occasionally (up to 3hrs/day) or NA if not applicable.
