POSITION TITLE: DISPATCHER OPS
REPORTS TO: SENIOR SUP BUILDING SERVICES
OVER-TIME STATUS: NON-EXEMPT
PAY GRADE: 410

JOB SUMMARY: Serves as a highly responsible and detailed Dispatcher within the Maintenance or Transportation Department. Responsible for reviewing and processing maintenance and bus driver activities daily; tracks and orders work, trips, materials, and recommends assignments; provides updates to ensure timely completion of activities; maintains records; assigns tasks; covers administrative duties in the absence of the department Administrative Assistant; dispatches workers/drivers/emergency responders via 911; prepares reports using department software systems. Work involves information distribution via personal contact, written communication, radio, or telephone.

ESSENTIAL DUTIES:

  • Receives, records, and distributes work orders;
  • Verifies information accuracy such as department name, work type, and location;
  • Handles verbal and written service or transportation requests and relays to appropriate sections;
  • Relays messages and instructions via radio and phone;
  • Maintains records of service calls, work orders, trips, accidents, reports, and documents;
  • Maintains files on all related information;
  • Operates standard office equipment;
  • Interacts with vendors regarding supplies and materials;
  • Reviews, converts, and assigns work requests;
  • Prepares work order reports;
  • Serves as a dispatcher by logging and transmitting messages;
  • Monitors radio communication;
  • Answers phones, takes messages, responds to questions;
  • Maintains office files;
  • Analyzes situations promptly to determine proper action;
  • Deals courteously with school personnel and the public;
  • Performs other duties as assigned.

JOB SPECIFICATIONS/PHYSICAL REQUIREMENTS: Knowledge of office practices, procedures, equipment, and clerical techniques; Business English, spelling, math; departmental policies; typing skills; mathematical ability; effective public interaction; operation of office and radio equipment; ability to establish effective relationships; follow instructions; proficiency with computers and software.

EDUCATION AND EXPERIENCE: High School Diploma or GED required; Associate's degree preferred. Minimum five years of office experience, preferably in a fast-paced environment; minimum three years in dispatching.
