Job summary

Symbria is seeking a Pharmacy Dispatcher in Woodridge, IL to act as the main contact for pharmacy staff, drivers, and clients. You will ensure timely pick-ups and deliveries, manage urgent orders, and optimize schedules to improve efficiency while maintaining HIPAA compliance.

Responsibilities include training new dispatchers, handling inquiries, and contributing to process improvements. A GED or high school diploma and at least one year in dispatch/logistics are required.

Qualifications

  • High school diploma or GED required.
  • Minimum 1 year experience in dispatching, logistics, or related fields.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to adapt, make decisions, multi-task in a dynamic environment.
  • Proficiency with dispatch software, MS Office, and GPS systems.

Responsibilities

  • Coordinate dispatching of pharmacy delivery drivers to ensure timely, accurate medication deliveries.
  • Manage emergency orders and urgent deliveries with clear communication to pharmacies, drivers, and customers.
  • Maintain and optimize delivery schedules to meet demand while maximizing efficiency.
  • Serve as primary contact for pharmacy staff, drivers, clients, and external stakeholders; provide updates and resolve issues.
  • Maintain accurate records of deliveries, prepare quality metric reports, and track incidents.
  • Ensure accuracy of medication deliveries and address discrepancies with pharmacies and customers.
  • Adhere to pharmacy regulations, safety protocols, and HIPAA when handling orders and data.
  • Collaborate with staff to optimize workflow and improve service quality.
  • Provide training to new dispatchers and drivers on protocols and customer service.
  • Identify process improvement opportunities and help develop dispatch strategies.
  • Any other duties as assigned.

Symbria Rx Services is a Pharmacy Dispatcher to add to our growing team at our Pharmacy in Woodridge, IL.

The primary responsibility of the Dispatcher is to be the point of contact for the pharmacy employees, drivers, and client communities to ensure the time pick-up and delivery of pharmacy deliveries. Responsibilities include route support, overseeing STAT processes, ensuring timely and accurate deliveries, and problem-solving proof of deliveries. Strong communication skills, attention to detail, and knowledge of pharmacy operations are essential for success in this role.

Responsibilities
  • Coordinate the dispatching of pharmacy delivery drivers, ensuring timely and accurate delivery of medications to customers and healthcare facilities.
  • Manage emergency medication orders and urgent deliveries, prioritizing critical requests and communicating with pharmacies, drivers, and customers to ensure prompt resolution.
  • Maintain and optimize delivery schedules to meet customer demand while maximizing efficiency and minimizing delivery times.
  • Serve as the primary point of contact for pharmacy staff, delivery drivers, client communities, and external stakeholders, handling inquiries, resolving issues, and providing updates on delivery status.
  • Maintain accurate records of delivery activities, including order details, delivery times, customer feedback, and incident reports. Track and prepare reporting on quality metrics.
  • Ensure the accuracy and completeness of medication deliveries, address any discrepancies or concerns, and follow up with pharmacies and customers to confirm delivery satisfaction.
  • Adhere to pharmacy regulations, safety protocols, and HIPAA guidelines in handling medication orders, delivery information, and customer data.
  • Collaborate with pharmacy staff, dispatch team members, delivery drivers, and other departments to optimize workflow, resolve operational challenges, and improve overall service quality.
  • Provide training and support to new dispatchers and delivery drivers, ensuring they understand protocols, procedures, and customer service expectations.
  • Identify opportunities for process improvement, implement best practices, and contribute to the development of strategies to enhance dispatch operations and customer satisfaction.
  • Any and all duties as assigned.
Working Hours: {3 days on/4days off}
  • Sun/Mon/Tues alternating every other Wednesday. The hours are 4:00 PM to 2:30 AM
Qualifications
  • High school diploma or general education degree (GED).
  • Experience in dispatching, logistics, transportation, or a similar field; minimum one year experience. This could include roles such as dispatcher assistant, logistics coordinator, or related positions.
  • Strong verbal and written communication skills needed to effectively communicate with drivers, clients, and other stakeholders.
  • Excellent organizational skills and attention to detail to manage delivery schedules, track orders, and ensure accuracy in medication handling.
  • Ability to adapt in a dynamic work environment, make independent decisions, maintain organization, prioritize, and multi-task.
  • Proficiency in using dispatching software, Microsoft knowledge, GPS systems, and other computer programs strongly recommended.
  • Strong communication skills, both verbal and written, with the ability to communicate effectively with pharmacy staff, customers, and delivery personnel.
  • Teamwork and collaboration skills to work effectively with diverse teams and contribute to a positive work environment.
  • Ability to work a flexible schedule as operational needs dictate, including nights, weekends, and holidays to support a 24-hour pharmacy operation.
Qualifications Preferred
  • Additional education or certification in pharmacy technology or healthcare administration.
  • Prior experience in pharmacy operations, dispatching, logistics, or a related field is preferred, especially in a 24-hour environment.
  • Knowledge of pharmacy regulations, medication safety practices, and HIPAA compliance requirements.
