PURPOSE OF YOUR POSITION:

Assist the department in scheduling and dispatching of vehicles, along with record keeping of transportation services. Responsible for creating, implementing and maintaining computer systems including scheduling apps and NEMT apps to meet the needs of scheduling for NHV social recreational trips and Sunshine Wheels non-emergency medical trips

Responsibilities Include

Coordinate and schedule daily transportation services, including NEMT, private-pay, and community-based trips.

Assign drivers and vehicles based on passenger needs, accessibility requirements, and route efficiency.

Monitor daily transportation schedules and make adjustments for cancellations, delays, emergencies, and vehicle breakdowns.

Maintain regular communication with drivers regarding assignments, route changes, and passenger updates.

Communicate with passengers, healthcare facilities, and community partners to confirm trips and resolve scheduling concerns.

Maintain accurate transportation records, trip logs, mileage, and operational reports.

Monitor vehicle assignments and coordinate with fleet maintenance staff regarding inspections, maintenance, and vehicle availability.

Assist with coordinating group outings, recreational trips, and special transportation requests.

Provide transportation coverage, including driving responsibilities, when operationally necessary.

Participate in rotating on-call coverage as assigned, including weekends, holidays, and after-hours support.

WORKING CONDITIONS:

• Works in the transportation office area as well as vans and buses.
• Sits, stands, bends, lifts, and moves intermittently during working hours.
• Is involved with tenant and non-emergency medical transportation riders.
• Is subject to frequent interruptions.
• Is involved with tenants, personnel, visitors, government agencies, etc., under all conditions and circumstances.

EDUCATION:

High school diploma or equivalent.

EXPERIENCE:

Must have 3-5 years of experience as a dispatcher/scheduler and ability to drive as needed.

SPECIFIC REQUIREMENTS:

• Must hold a current CT Public Service License in good standing.
• Must have one of the following endorsements F, S, V or A.
• Must be able to analyze schedules and assign resources appropriately, efficiently and cost effectively.
• Knowledge and experience in using computer software with a strong systematic approach to organizing, scheduling and dispatching for NEMT and social recreational NHV trips.
• Must possess good organizational skills, attention to detail, and ability to focus on assigned tasks
• Must be able to work collaboratively with drivers and external facilities/providers to determine best practices for ongoing quality satisfaction
• Excellent time management skills and positive attitude required
• Intermediate level of knowledge/experience of using technology apps related to phone and tablets required
