Job description

The Dispatch Transportation Support Specialist helps coordinate shipments according to customer instructions (SOPs), and ensures cost compliance follows regulations and established internal policies and guidelines. Act a point of contact for 3rd party draymen having inquires relating to outstanding drayage payables. Manage chassis operations with each provider to ensure maximum profitability. Specialist will also be responsible for providing solutions in resolving transportation issues and inquiries relating to carrier payables.Tasks & Responsibilities: Assist AP team with invoicing processing escalations. Hold calls with AP teams to discuss current work volume/issues/updates/process improvement ideas. Help with testing and problem research resolution between TOPS and TANGO systems. Oversee and ensure cost accruals and carrier PARTNERID information matches information updated and transmitted out of TOPS TMS System. Work closely with dispatcher questioning charges that may need review. (yard storage, per diem, detention time, multi-stops, etc.) Assist with the review of carrier statements. Following up on as needed to successful get carrier invoices processed for payment involving other teams as needed. Act as point of contact for carrier accounts receivable departments. Assist with per diem invoices and ensuring they are received by the correct person/department for processing/disputing/rejecting. Send weekly chassis pre-advise alerts to partner chassis vendors. Process monthly chassis consolidated invoices from partner chassis vendors. Help educate and advise colleagues within the organization on the technical and non-technical tasks/needs associated to successfully ensure cost are both paid and communicated relating to US/CA drayage moves. To establish responsibilities and accountabilities for service failures where invoices are not processed timely in order to met vendor pay terms. The Specialist will need to maintain constant communication with other team members to ensure use of carriers are efficient and effectively used. The Specialist will aid both internal and external customers in regards but not limited to transportation accounting inquiries The Specialist will ensure proper reporting; carrier invoicing and system event updates are conducted timely and accurately raising any issues outside of their immediate control that need to be addressed. To assist with ocean product goals to eliminate risk (cost exposure) as much as possible. To perform other duties as assigned

Details/Specification/Explanation of the role specific skills: 3 - 5 years of experience in Logistics and related field Proficiency in Microsoft Office Suite including but not limited to Outlook, Word, and Excel Knowledge of import/export transload operations A general understanding of ocean export/import operations and budgeting exercises Experience in carrier deliveries/recovery process and terminal port/CY requirements. Ability to multi-task and maintain composure under pressure in a fast-paced environment. Email and Telephone etiquettes. Ability to troubleshoot day to day issues that may arise during pick-up or delivery process.
