Job summary

Haynes Mechanical Systems seeks a Director of Project Management to lead design-build mechanical projects from award through closeout. The role oversees Project Managers, Coordinators, and Estimators to ensure on-time, on-budget delivery while coordinating procurement and permitting with clients.

The ideal candidate has 7+ years in commercial construction PM/coordination, proficiency with scheduling tools, and a proactive leadership style.

Qualifications

  • 7+ years PM/coordination in commercial construction; mechanical/HVAC experience preferred.
  • Ability to develop and manage a master project schedule and budget.
  • Experience with multi-jurisdiction permitting and design-build delivery.

Responsibilities

  • Planning & Scheduling – develop and maintain a master schedule; lead look-ahead scheduling.
  • Budget & Cost Control – track cost-to-complete; monitor spend and variances.
  • Design-Build Scope – translate estimate into actionable scope, schedule and procurement plan.
  • Permitting – manage jurisdictional requirements and permit lead times.
  • Procurement – track long-lead equipment and materials against schedule.
  • Change Orders – develop pricing and documentation; secure customer approval.
  • Client Communication – provide progress updates and manage expectations.
  • Field Coordination – work with PMs, coordinators, estimators, technicians.
  • Documentation & Closeout – maintain submittals, RFIs, and project files.

Requirements
  • 7+ years of project management or project coordination experience in commercial construction; mechanical, HVAC, BAS, or piping experience strongly preferred.
  • Construction management degree preferred.
  • Demonstrated ability to build and manage a project schedule, track a budget against actual cost, and manage procurement lead times.
  • Working knowledge of the permitting process for mechanical work, including multi-jurisdiction submission and follow-up.
  • Comfortable reading mechanical drawings and specifications and working within a design-build delivery model where scope evolves after contract award.
  • Proficiency with scheduling and project management tools (e.g., Procore, Bluebeam, MS Project, or equivalent) or a demonstrated ability to learn them quickly.
  • Strong written and verbal communication is the primary client contact during execution and must be able to deliver both good news and bad news clearly.
  • Able to manage multiple concurrent projects without losing track of the details on any one of them.
Position Summary

The Director of Project Management owns detailed planning and execution on Haynes Mechanical's design-build mechanical projects — schedule, budget, procurement, permitting coordination, and change order management — from contract award through closeout. The Director of Project Management leads Project Managers (who own field execution), Project Coordinators, and Mechanical Estimators (who own pricing and assist with scope development).

Essential Duties and Responsibilities

This job description gives an overview of the overall essential functions, competencies, skills, and abilities for the Director of Project Management role. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:

Planning & Scheduling – Support Project Managers in developing and maintaining a master schedule for each assigned project from contract award through closeout. Lead look-ahead scheduling, identify potential delays early, and retain ultimate accountability for schedule performance.

Budget & Cost Control – Own project budgets by tracking cost-to-complete against the schedule of values, monitoring labor and material spending, and reporting variances to leadership before they escalate.

Design-Build Scope – Guide Project Managers through the handoff from Estimating at contract award, converting the estimate into an actionable scope, schedule, and procurement plan. This is where the role adds the most value especially when scope is still being finalized as work begins.

Permitting – Ensure Project Coordinators and mechanical engineers manage jurisdictional requirements, submission schedules, and follow-up for every assigned project. Build realistic permit lead times into the schedule to prevent mid-project delays.

Procurement – Ensure Project Managers track long‑lead equipment and materials against the project schedule, escalating risks before delivery delays affect planned start dates.

Change Orders – Collaborate with Project Managers to proactively identify changes in project scope, develop accurate pricing and supporting documentation, and secure customer approval prior to commencing additional work—helping protect project schedules, contractual compliance, and gross margin.

Client Communication – Serve as the primary escalation point for the customer during execution; run progress updates and manage expectations, separate from the sales relationship.

Field Coordination – Work daily with Project Managers, Coordinators, Estimators, and Project Technicians to translate the plan into field direction.

Documentation & Closeout – Maintain submittals, RFIs, and project files in a consistent, auditable format; drive on‑time closeout and turnover.

  • Able to lift 75 lbs from floor to waist with possible repetition

  • Able to work with both arms above head for a minimum of 5 minutes
  • Able to carry 50 lbs for a distance of 25 feet
  • Able to push or pull 125 for a distance of 150 feet
  • Able to climb stairs and ladders
  • Able to carry 30 lbs while climbing stairs or a ladder
  • Able to grip and operate hand tools, power tools, and safety equipment, such as chain falls
  • Able to lift legs and step over obstacles up to 19 inches above the ground
  • Able to perform work while in varying physical positions, such as lying on side, in a kneeling position, while standing on a ladder
  • Able to access rooftop units and work at heights and in some cases tight or enclosed spaces
  • Able to wear a respirator if conditions require; may have exposure to potentially harmful chemicals or materials
  • Able to crawl for a distance of 25 feet
  • Able to stoop, squat, or kneel for up to 10 minutes at a time
  • Vision: Correctable to 20/20 with no color blindness
  • Hearing: Correctable to normal range

Compensation: $140K - $170K Annually
