We are a rapidly growing love coaching company on a mission to empower women to attract love with a proven strategy. As we scale, we're seeking a highly accountable, process-driven Director of Operations to lead and optimize the company's technical, operational, and financial infrastructure. This is a high-impact leadership role with the exciting opportunity to directly contribute to our mission while working remotely.
The ideal candidate is a hands-on strategic thinker who thrives in fast-paced environments and can bring clarity, structure, and scalability to fix complex operations. You'll be responsible for ensuring that all systems, workflows, and business functions run efficiently and cohesively, enabling our team to execute at the highest level. You MUST be willing to be hands-on and have the ability/experience to build and test automation systems in CRMs and produce data analytics reports. This role requires someone who thrives in fast-paced environments, can bring clarity to chaos, and knows how to keep the backend of a business running smoothly. You'll also manage a key execution-focused team member and play a critical role in ensuring our infrastructure scales with the business.

- Manage and optimize the company's tech stack including Keap, Zapier, OnceHub, and other key tools
- Own the setup, maintenance, and functionality of CRM systems, funnels, tags, campaigns, email automations, and landing pages
- Oversee all technical connections and automations to ensure seamless performance across departments
- Build and maintain backend systems, SOPs, and workflows that improve team execution and reduce inefficiencies
- Collaborate with sales and marketing teams to support operational execution during launches, webinars, and lead generation efforts
- Ensure data integrity and reporting accuracy across platforms
- Produce reports and insights using advanced spreadsheet skills and internal analytics tools to support decision-making
- Lead cross-functional projects across sales, marketing, fulfillment, and client support, ensuring on-time execution and clear communication flow
- Manage task timelines, dependencies, and team accountability to keep daily workflows running smoothly
- Oversee the operations coordinator and ensure projects are moving forward without friction
- Identify operational inefficiencies and implement process improvements to support scalability and execution
- Proactively research and implement AI tools and automations to streamline workflows and reduce manual effort
- Support launch execution, client onboarding, and campaign delivery through tight operational coordination
- Document repeatable processes and eliminate knowledge gaps to improve consistency across teams
- Coordinate with leadership and external partners on budgeting, forecasting, cost tracking, and CPA support
- Oversee recurring financial processes including payroll, credit card reconciliation, vendor payments, and financial controls
- Manage QuickBooks and other financial tools to ensure accurate and timely reporting
- Maintain reporting systems across all departments to provide clear visibility and drive accountability
- Lead the development of dashboards or recurring reports to track performance and support decision-making
- Identify cost-saving opportunities and recommend process optimizations to improve profitability
- Ensure financial workflows are well-documented, consistent, and aligned with company goals
- Ensure HR policies, compensation structures, and compliance frameworks are well-defined and maintained
- Own the success of recruiting and hiring efforts, delegating to internal recruiters or external partners
- Implement company policies and compliance measures to support sustainable growth
- Manage contract administration, legal processes, and insurance policies to mitigate risk

Requirements
- 6+ years of experience in operations, finance, or business management, preferably in the high-ticket coaching, online education, or digital services industry
- Demonstrated proficiency with core business tools including Keap for CRM and automation, and OnceHub for scheduling and client coordination
- Proven ability to optimize business systems, workflows, and integrations.
- Strong financial acumen, including experience with QuickBooks, budgeting, and cost management
- Experience managing HR, compliance, and recruiting functions at a strategic level
- Strong leadership and communication skills to manage execution-focused team members
