Reporting directly to the CFO and President, you will be tasked with maximizing operational throughput and patient satisfaction. Staff Accountability & Performance Leadership
  • Drive Staff Productivity: Act as a strong, commanding leader whose presence establishes clear behavioral baselines and performance expectations for a 50+ member team.
  • Enforce Structural Accountability: Utilize performance management metrics to extract maximum efficiency and dedication from administrative and clinical staff. Ensure that staff is consistently following established operational protocols to ensure consistency within the workplace. Leverage routinely scheduled department meetings to ensure cohesion, and to avoid drift from SOPs.
  • Supervise Mid-Level Management: Provide firm daily direction, mentorship, and oversight to five key direct reports: Asst. Operation Manager, Clinic Managers, Scheduling Manager, and HR Supervisor.
Pipeline Mastery & Metric-Driven Management
  • Optimize the Surgical Pipeline: Rapidly learn, audit, and master the intricate administrative workflows spanning Patient Onboarding, Insurance Eligibility & Verification, Appointment & Surgery Scheduling, and Managing Post-Op Care.
  • Analyze Monthly Operations Metrics: Review comprehensive data packets provided by executive leadership to flag inefficiencies within the pipeline, identify developing scheduling needs, and minimize patient drop-off.
  • Translate Data to Action: Transform monthly metric evaluations into immediate operational adjustments and corrective action plans for the management team and staff.
Compliance & Staffing
  • Maintain Regulatory Standards: Partner with the HR and Clinic Managers to ensure strict compliance with HIPAA, OSHA, California Department of Public Health guidelines, and surgical industry regulations.
  • Ensure Sufficient Staffing: Tasked with the responsibility of making sure that each department is full & adequately staffed. Rely on department performance and efficiency metrics to actively manage and propose changes.
  • Disciplinary Oversight: Manage and approve all disciplinary actions, performance improvement plans, and terminations for hourly personnel. Oversee the progressive discipline process for hourly staff, ensuring compliance with company policy and employment laws.
Required Skills & Qualifications
  • Experience: Minimum 7-10 years of operations management experience, with a preference for either multi-specialty surgical practices, large medical groups, or clinical facility mgmt.
  • Education: Minimum of a bachelor's degree in Healthcare Administration, Nursing, Business, or a related field is required. Equivalent combination of education and clinical/administrative experience may be considered.
  • Leadership Style: A proven, assertive, and "stern-but-fair" leadership personality. Candidates must possess a track record of successfully managing underperforming teams and establishing cultures of rigorous accountability.
  • Tech Adaptability: Exceptional technological literacy - must possess a short learning curve when adopting new software and digital workflow tools.
  • Pipeline Comprehension: Direct familiarity and experience with complex medical pipelines, such as bariatric or elective surgery paths (in which clearances, weight-loss milestones, and insurance authorizations were mandatory).
  • Communication: Eloquent verbal communication skills, with an innate ability to deliver direct feedback, resolve internal conflict, and to keep the departments laser-focused on daily goals. Must be able to clearly articulate to all levels of the staff & management within the organization
  • Benefits Package: Comprehensive medical, dental, and vision insurance packages, Paid Time Off (PTO), standard paid holidays, an available 401k, and a retirement pension plan.
