The Director of Grants Management and Financial Planning, under the leadership of the Chief Financial Officer has full accountability for the grants and contracts revenue cycle including systems, processes and controls; grant administration, management and oversight; recordkeeping, accounting and reporting; billing and collections; team development; compliance; and funder relationship management. This role helps to ensure organizational sustainability by maintaining strong and compliant relationships with funders while also maximizing revenues and cash flows.
The Director of Grants Management and Financial Analysis, together with the Chief Financial Officer, has accountability for developing the organization’s annual operating budget, including regular monitoring, forecasting, and reporting of actual results against budgeted revenue and expenses, to program leaders, senior leadership, and the Board of Directors.
This position is based at our Easterseals Chicago location at 1939 W. 13th Street, Chicago, IL 60608.
MAJOR FUNCTIONS/ACCOUNTABILITIES:
Grants Management:
- Ensure grants are implemented in accordance with the operational and financial needs of the organization and the requirements of the funder(s).
- Stay apprised of changes in grant laws, regulations, guidance, and practices. Provide clear communication of rules and regulations related to grants management across all departments of the organization and management.
- Assure adherence to rules and regulations, not limited to the 2 CFR 200 and GATA, Grants Accountability and Transparency Act by maintaining an effective compliance program.
- Monitor, review, approve and maintain reports, paperwork and other related documents connected with grant-funded programs.
- Prepare spending projections and report budget to actual grant spending to program managers and senior leadership regularly. Alert leadership to any over/under spending concerns and assist program leadership in developing and implementing action plans to address these issues.
- Maintain the organization’s cost allocation plan, in coordination with the CFO.
- Track grant management measurements for the agency’s performance dashboard.
Financial Planning and Analysis:
- Lead disciplined budgeting and forecasting processes to support the organization’s short-term and long-term financial goals.
- Work closely with department heads and program managers to develop and monitor departmental budgets.
- Analyze financial data to identify trends, risks, and opportunities and report conclusions to senior leadership.
- Analyze and translate financial information into key performance metrics to provide management with information critical to leveraging current and future business direction.
- Drive continuous improvement in budgeting and forecasting processes, leveraging technology and automation tools to streamline workflows, increase efficiency, and reduce manual effort.
Systems, Processes and Controls:
- Develop, communicate, and implement effective finance practices with aligned technology solutions. Ensure continuous process improvement, cost effective system maintenance and support, and the development and implementation of centralized practices, systems, policies, controls, and management tools.
Team Leadership:
- Organize work, establish priorities, make proper assignments of human resources, and efficiently allocate resources.
- Invest in people and cultivate a team culture rooted in accountability that inspires confidence, trust, respect, and transparency to encourage information sharing and learning.
- Provide timely performance feedback and take an active role in team development.
- Set team, goals, and performance expectations.
Requirements
QUALIFICATIONS:
Education/Certification:
- BA or BS in Accounting, Finance, or Business Administration or equivalent combination of education and experience.
- Grants Management certificate strongly preferred.
Experience Required:
- Five years of broad, progressive experience in government grants management/ administration.
- Three years’ management experience in a nonprofit organization, including experience recruiting, training/developing, and retaining a highly effective team.
- Experience successfully preparing for and managing single audits and other funder-specific audits required.
Required Knowledge:
- Expert-level knowledge of Uniform Guidance and other government grant requirements, compliance, processes, systems, controls, and best practices required.
- Expert-level knowledge of grant management best practices.
- Strong knowledge of audit, accounting, budgeting, analysis, business operations and nonprofit industry required.
- Proficient in using computers with related knowledge of software programs and internet. Strong knowledge of general ledger software (generic), as well as intermediate-level knowledge of Microsoft Word and PowerPoint and advanced knowledge of Microsoft Excel.
- Microsoft SharePoint experience and Sage/MIP software experience desired.
