Job summary

UNION R-XI SCHOOL DISTRICT is seeking a 12‑month, exempt Financial/Budget Administrator to properly account for all funds and oversee the district budget. The role reports to the Superintendent and requires a Bachelor’s degree in accounting/finance. Salary ranges from $80,000 to $120,000 based on experience and education.

The position includes responsibility for the district’s ASBR and annual audits, as well as Medicaid and state program reporting. Proficiency with SISFIN is expected.

Qualifications

  • Bachelor’s Degree in accounting/finance and/or related field from an accredited university required.
  • Successful experience working in K-12 education in a position with duties and responsibilities related to budget/finance preferred.

Responsibilities

  • Prepare and present the district's annual BUDGET including various salary scenarios and maintain it during the year through budget amendments.
  • Submit the district's annual ASBR, close out accounts for the year, and complete fiscal year-end reports.
  • Prepare information for (including the financial statements) and coordinate the district's annual AUDIT.
  • Prepare the necessary information to set the yearly Tax Levy Information and maintain history records of our assessed valuations and tax rates.
  • Maintain and monitor all functions of the SISFIN system by serving as the system administrator including backing up of the system every evening, uploading all software updates, and closing the month.
  • Assist in the accounting for all Federal and State programs.
  • Create a new file set in SISFIN and accurately set up the job list to reflect salaries for the new year budget.
  • Approve all Purchase Orders to monitor coding is correct and serve as backup to routes when others are unavailable to complete their routes.
  • Input monthly entries into the computer system, balance all bank accounts at the end of the month, and submit information for the treasurer’s report to the board each month.
  • Work with financing projects including bus purchases, debt financings, and construction
  • View and approve all payroll account registers prior to posting payroll to check proper coding
  • Present yearly financial trainings to building secretaries
  • Maintain the spreadsheet to monitor all of the district’s Fund 4/construction projects
  • Submit pertinent state required financial reports to be uploaded to the district website
  • Invest monies as needed and transfer funds at the bank for cash flow
  • Ensure accuracy for all fund accounts and proper DESE coding
  • Complete quarterly reports including 941, Unemployment, Multiple Worksite and Maximus
  • Closely monitor, adjust, and reconcile payroll accounts to the general ledger and budget
  • Monitor, review, and project all district finance payments
  • Monitor and record transactions from the credit card receipt systems and ACH payments
  • Work closely with transportation department to maintain accurate transportation records for state reporting and maintain updated bus list with titles and financing information
  • Assist the special education department in preparing the necessary medicaid and high needs funds reports
  • Manage the district’s accounts receivables related to all incoming funds including submitting invoices for tuition, building rentals, and donations
  • Closely monitor spending in each of the school’s cost centers
  • Reconcile and submit W-2's and 1099's at the end of the calendar year to the recipients and the government
  • Complete PSRS/PEERS end of year GASB salary reconciliation
  • Act as the office liaison for system and procedural issues

CLASSIFICATION: Classified - Exempt

Job Duties And Responsibilities

The Federal programs include Special Ed (94-142, Part B), Title IA, Title IIA, Title ID, Title IV and Early Childhood Special Ed. State programs include Parents As Teachers, and state grants

TERMS OF EMPLOYMENT: 260 days per year (12 month position)

EVALUATION: Performance of this job will be evaluated annually in accordance with provision of the Board's policy and evaluation.
