Director, Conference Services and Campus Events – Full-time – Salary

Wheeling, WV – Wheeling University

Wheeling University invites applications for a Director of Conference and Event Services to develop, market, manage, and execute conferences, workshops, meetings, events, summer camps, and related programs.

The Director will coordinate with the University and other local agencies, schools, and organizations regarding the use, rental, and events to be held on the Wheeling University Campus. These will include University and non-college events. Non-university events may include conferences, band, and sports camps. University events will include Homecoming, Commencement, Alumni Weekend, and other celebrations.

Primary Duties/tasks

  • Primarily and independently responsible for all aspects of conference management before group arrival, day-to-day operations, and fulfillment of client contractual and customer-service needs.
  • Responsible for maintaining and building an existing portfolio of clients, conferences, camps, and meetings by establishing and/or pursuing relationships with current contacts and program directors.
  • Responsible for developing new conferences, events, or programs to further WU's objectives through relationships, networking, community contacts, campus contacts, and convention and visitor bureaus.

Work Closely With Campus Constituencies To Ensure Proper Execution And Delivery Of Internal Event Functions. Serve As Chief Liaison With Other Departments

  • Information Technology Services - all computer, network, and audio/visual needs
  • Physical Plant - with custodial and grounds staff to ensure appearance, cleanliness, and readiness of space and grounds for guests and conference needs
  • Dining Services - catering menus, input on appropriate dining hall accommodations and hours of operations, production of special events, and fulfillment of all other guest dining and dietary needs
  • Other campus service groups - on financial operations, accounting, risk mitigation, contract review, web development, campus communications, transportation issues, and guest safety and security.
  • Responsible for developing and establishing a comprehensive business plan, including financial goals, marketing strategies, and investment needs consistent with WU's overall strategic initiatives.
  • Provide proper accounting and data analytics of all conference business activities and ensure timely collection of amounts owed.
  • Generate contracts and insurance requirements, monitor compliance with University policies and government regulations.
  • Maintain policies and procedures in assigned area/inventory, reviewing, revising, annually, updating, and issuing new ones as regulations and requirements dictate; ensure mandated requirements are met and documentation is maintained per policies and procedures; ensure assigned personnel are fully trained and qualified to perform assigned compliance responsibilities.

Qualifications

  • One year of related experience in conference and event planning.
  • Bachelor’s Degree
  • Valid driver’s license. Ability to work extended hours, evenings, weekends, and special events as needed.
