Job description

Description

This isn’t a role for someone who simply tracks projects. It’s for an agency operations leader who creates clarity across complex accounts, anticipates risk, strengthens delivery and enables senior communicators to do their best work.

At MediaSource, we help many of the nation’s leading health systems, academic medical centers and healthcare innovators tell stories that matter. From breakthrough research and life-changing patient care to executive thought leadership, our work earns national attention - and helps improve lives.

You’ll partner directly with agency leadership, client leads and department heads to build the operating discipline behind exceptional client work and play a meaningful role in the continued growth of one of the country’s leading healthcare communications firms.

What You’ll Do

  • Own account operations across MediaSource’s client portfolio, creating a clear and reliable view of account health, priorities, risks and upcoming decisions.

  • Build and maintain consistent systems for project intake, planning, staffing, delivery, scope management and follow-through.

  • Lead portfolio health and capacity reviews, identifying issues early and driving clear decisions, owners and next steps.

  • Partner with project management, client leads, PR leaders, strategy and creative teams to ensure work is well planned, appropriately resourced and delivered on time and within scope.

  • Oversee scope, budget and burn-rate visibility while supporting renewal planning and responsible account growth.

  • Coach and develop client management talent while setting clear standards for agendas, recaps, timelines, dependencies and accountability.

  • Strengthen Asana, Harvest and AI-powered workflows so agency leaders have useful information without creating unnecessary process or administrative burden.

  • Improve client onboarding, account planning, relationship mapping, escalation and offboarding practices across the agency.

What We’re Looking For

  • 8-12 years of agency operations, account operations or integrated project management experience.

  • Success overseeing a portfolio of complex client accounts and improving how cross-functional teams plan and deliver work.

  • Strong command of scope, budgets, utilization, resource planning, workflow systems and delivery risk.

  • Experience managing and developing client leads or account operations professionals.

  • Excellent judgment, executive communication and the confidence to create accountability across teams and levels.

  • Healthcare communications experience preferred.

Why MediaSource?

We’re building the next generation of healthcare communications by combining strategic storytelling, national media expertise and AI-powered workflows.

This role is central to how the agency operates. You’ll be accountable for consistent, effective client delivery across the agency. Working closely with designated client leads, you’ll clarify ownership, coordinate resources, monitor commitments and resolve issues before they affect the client experience. You may lead select accounts while building the systems and accountability that help every account team succeed.

We hire people who are curious, collaborative and eager to keep improving. We share knowledge openly, challenge ideas respectfully and give our people the autonomy to lead. If you enjoy bringing order to complexity, developing people and helping talented teams do their best work, you’ll fit right in.

You’ll work closely with senior agency leadership and have a meaningful opportunity to shape how MediaSource scales its people, processes and client portfolio for the future.

What We Offer

  • Generous PTO and paid holidays, including a full week off during the December holiday season.

  • Eight weeks of paid family leave.

  • Competitive 401(k) with company match.

  • Comprehensive health plan with HSA.

  • Paid volunteer time.

  • Ongoing AI training and access to industry-leading communications and operations tools.

If you’re excited to build the operating foundation behind outstanding client work - and you know how to turn complexity into clarity, accountability and momentum - we’d love to meet you.
