Responsibilities

The Digital Workplace Specialist role is responsible for supporting the organization’s public web presence and services, as well as internal Microsoft 365 intranet and application suite. This role will span both the Information Technology (IT) team and the Government and External Affairs (GEA) team, operating in a hybrid management structure, and will develop and improve style and branding across the Microsoft environment staff rely upon daily, supporting IRI’s global user experience.

This position is located in Washington, DC. The Digital Workplace Specialist is expected to work in-office at least three days per week.

KEY RESPONSIBILITIES

Web Administration, Security, and Service Provider Management

  • Serve as IRI's primary web administrator, owning the hosting environment and content management system, ensuring the Institute's public-facing website remains secure, current, and functional by utilizing tools or services including WordPress, Google Analytics, Cloudflare, as well as other 3 rd party apps or utilities.
  • Coordinate with IRI’s Government and External Affairs team to ensure key marketing and programmatic content is consistently refreshed, updated, and available on IRI.org.
  • Monitor, troubleshoot, and provide regular updates on services, alerts, and relevant statistics, and produce relevant reports on site activity and trends.
  • Own and manage use of tools such as Cloudflare, as well as reporting and escalation of malicious or anomalous site activity to the appropriate internal security resources or external vendor.
  • Day-to-day oversight and long-term planning for budget, procurement, and contracts for IRI’s digital platforms, including web presence, digital asset management, and CRM development needs.
  • Manage vendor relationships with hosting and other related service providers.

Internal Digital Environment, Templates, and Design Assets

  • Develop and maintain the design, structure, and ongoing maintenance of IRI's SharePoint intranet sites, including news, departmental pages, document libraries, and templates and assets.
  • Consolidate, grow, and maintain IRI's library of internal document templates (Word, PowerPoint, Excel), SharePoint page templates, and other digital design assets in coordination with relevant teams.
  • Develop and maintain Microsoft 365 document standards including style, structure, and layout.
  • Produce guidance and reference materials and deliver staff training on the proper use of templates and digital platforms.
  • Manage, curate, and maintain IRI’s digital asset management system for the purposes of publications, sites, or other digital or print media, internal or external, while supporting staff contributions.
  • Manage and maintain in-office display slideshow content for announcements and messaging.

Communications Platforms and Channel Strategy

  • Administer IRI’s CRM platform (HubSpot) for integration with IRI.org, external messaging campaigns, and IRI-hosted events.
  • Evaluate IRI's existing communications technology stack and recommend whether existing platforms should be retained, replaced, or consolidated; identify alternatives where current tools do not meet the Institute's needs.
  • From a technology perspective, contribute to an internal messaging and communication strategy for organization-wide information, announcement, and update distribution.
  • Participate and assist with the audio-visual production and enhancement of in-house events, optimizing live and post-production event media for distribution.

WHAT WE’RE LOOKING FOR

We seek a passionate, resourceful, and technically fluent individual with:

  • Bachelor's degree in information technology, communications, or a related field; equivalent professional experience considered in lieu of a degree.
  • Minimum three years of professional experience managing organizational web properties using WordPress and SharePoint environments, or equivalent digital platforms.
  • Demonstrated experience with SharePoint site design, page building, permissions management, and document library architecture.
  • Experience with HubSpot administration or comparable CRM/marketing automation platforms.
  • Strong design sensibility, with the ability to produce clean, professional, on-brand layouts for documents, pages, and templates without requiring dedicated graphic design support.
  • Experience with Microsoft Power Platform, including Power Apps, Power Automate, Power BI, and Copilot Agents is a plus.
  • Excellent written and verbal communication skills, including the ability to create clear training materials and user guidance. Experience developing and delivering internal training programs on technology tools and platforms preferred.
  • Proficiency with web hosting and CMS administration.
  • Working knowledge of HTML and CSS; ability to troubleshoot, customize, and extend platform functionality beyond out-of-the-box configurations.
  • Demonstrated ability to translate technical concepts for non-technical audiences and to work patiently with colleagues at all levels of digital literacy.
  • Strong organizational skills and attention to detail; ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Experience evaluating and recommending technology platforms in a resource-constrained organizational environment preferred.
  • Prior work in a nonprofit, international development, or similarly mission-driven organization preferred.

IRI TOTAL COMPENSATION

The anticipated compensation range for this position is $65,000 to $75,000 USD.

The salary for this position is determined based on a wide variety of factors including but not limited to an individual’s professional experience, qualifications, education and other business needs along with internal equity considerations. Employees are not typically hired at the top of the range for their role and compensation decisions are made based on the aforementioned considerations.
