Job Title: Development Coordinator | Location: Washington, DC | Job Type: Full-Time | Union Affiliation: Union | Accountable to: Chief Development Officer

About the Role

The Development Coordinator supports the daily operations of the Development team by coordinating administrative processes, donor communications, prospect research, scheduling, data entry, and CRM-related activities. This position helps maintain accurate donor information, supports cultivation and stewardship efforts, assists with fundraising communications and events, and provides logistical and administrative support to the Chief Development Officer and Development team.

Working under the supervision of the Chief Development Officer, the Development Coordinator plays an important role in ensuring that development activities are well organized, timely, donor-centered, and aligned with the organization’s fundraising goals.

What You’ll be Doing
Development Operations and Administrative Support
  • Support the daily operations of the Development team by coordinating administrative processes, calendars, meetings, deadlines, and follow‑up items.
  • Manage scheduling for the Chief Development Officer and Development team, including donor meetings, internal and external meetings.
  • Prepare and submit expense reports, coordinate travel arrangements, and support related administrative processes using organizational systems and software.
  • Assist with special projects, departmental tracking, report preparation, and other development operations needs as assigned.
Donor Communications and Stewardship Support
  • Draft, proofread, format, and distribute fundraising and donor communication materials, including website content, memos, gift acknowledgments, donor emails, and stewardship materials.
  • Support routine correspondence with current and prospective donors, including responding to basic inquiries by phone and email and routing matters to appropriate team members.
  • Assist with preparing donor meeting materials, briefing documents, and follow‑up communications.
  • Maintain a donor-centered and professional approach in all communications with supporters, Board members, volunteers, and external stakeholders.
Prospect Research and CRM Support
  • Conduct research on current and prospective supporters to help identify funding opportunities and support donor cultivation efforts.
  • Prepare prospect research summaries and meeting briefs to support donor engagement and relationship‑building.
  • Assist with maintaining accurate and up‑to‑date donor and constituent information in the organization’s CRM system; including entering contact reports, updating contact information, pulling reports, and supporting accurate tracking for fundraising activities.
  • Help ensure donor records, communications, deadlines, and follow‑up items are timely, accurate, and complete.
Event and Meeting Coordination
  • Coordinate logistics for fundraising and donor engagement events, including venue research, catering, invitations, registration, materials, and post‑event follow‑up.
  • Support the execution of fundraising events, including galas, virtual events, in‑person salons, donor briefings, and other cultivation or stewardship activities.
  • Coordinate with internal teams, vendors, and external stakeholders to support event planning and implementation.
  • Serve as a point of contact for assigned event logistics and routine coordination tasks.
Cross‑Team Coordination
  • Coordinate with Development team members, Program staff, Communications, Finance, and other internal stakeholders to gather information, support donor materials, and complete assigned development tasks.
  • Support timely communication and follow‑up across departments to help ensure fundraising activities and donor commitments are completed accurately.
  • Assist with reports, tracking documents, project plans, and internal updates related to development activities.
Minimum Requirements and Competencies
Education and Experience
  • Bachelor’s degree or equivalent combination of education, training, and relevant experience required.
  • Equivalent experience may include:
    • High school diploma or equivalent plus at least four years of relevant experience;
    • Associate’s degree plus at least two years of relevant experience; or
    • Bachelor’s degree.
  • Relevant experience may include development, fundraising support, nonprofit administration, donor relations, event coordination, communications, project coordination, database administration, executive support, or related administrative experience.
  • Experience using a donor database, CRM, or similar data management system preferred.
  • Experience supporting fundraising events, donor communications, or prospect research preferred.
Knowledge, Skills, and Abilities
  • Strong written and verbal communication skills, including the ability to draft, proofread, and format donor‑facing communications.
  • Strong interpersonal skills and ability to interact professionally with donors, colleagues, Board members, vendors, and external stakeholders.
  • Strong organizational and project coordination skills, with the ability to manage multiple tasks, deadlines, meetings, and follow‑up items.
  • Excellent attention to detail, particularly in donor communications, CRM data entry, meeting briefs, event logistics, and record‑keeping.
  • Ability to conduct basic prospect research and prepare clear, useful summaries or meeting briefs.
  • Ability to use donor management software or CRM systems to enter information, update records, look up donor history, and pull basic reports.
  • Ability to handle confidential donor and organizational information with discretion and professionalism.
  • Ability to work collaboratively across departments and provide responsive administrative and logistical support.
  • Proficiency with Microsoft Office and Google Workspace required.
