Qualifications

  • High School Diploma or GED required; an Associate or Bachelor's degree is preferred.

Responsibilities

  • Process incoming donations daily with correct coding to Finance.
  • Coordinate printing and mail vendor(s) for campaigns and pop-ups.
  • Prepare acknowledgement letters and update quarterly.
  • Maintain CRM donor records and generate weekly/monthly reports.
  • Coordinate national vendor relationships and compliance with Secretary of State offices.
  • Support event planning, supplies, and post-event data processing.
  • Respond to donor inquiries via email/phone and route as needed.
  • Assist with department budget tracking and reconciliation with Finance.

Position Title: Development Coordinator

Department: Development & Communications

Reports to: Director of Development & Communications

Employment Status: Full-Time

FLSA Status: Exempt

Salary: $53,000 - $58,000

POSITION SUMMARY

The Development Coordinator will support fundraising strategy and operations for IW's Development & Communications team with primary responsibility for the management of donor data systems, vendor partnership coordination, coordination of IW's donation and acknowledgement processes, tracking of department expenses, and support of fundraising events, campaigns, and other activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Fundraising Campaign Assistance
    • Process incoming donations daily, including providing correct codes to Finance
    • Coordinate printing and mail vendor(s) for at least three yearly campaigns, and pop-up campaigns as needed
    • Prepare timely acknowledgement letters and update acknowledgement letters quarterly
  • Donation Processing:
    • Process donation reports monthly, including providing correct codes to Finance
  • Manage Nation-wide Charitable Registration Vendor Relationship
    • Coordinate across Office of CEO and Finance to maintain nation-wide compliance
    • Operate as first point of contact for IW for Secretary of State offices
    • Process invoices in a timely manner for Office of Chief of Staff
  • Reporting and Data Maintenance
    • Maintain excellent records in CRM, including task creation and management
    • Provide weekly reports to relevant departments
    • Support the development of standardized or customized donor reports, as requested
    • Provide data for Director's monthly reports to IW Board of Directors Development Committee
    • Provide monthly reports across donation processors to Finance Office
    • Import in-kind donors from across IW programs into CRM on a monthly basis
    • Assist Manager of Individual & Community Giving with monthly reconciliation with Finance records
  • "Event in a Box', Supply, and Event Management
    • Prepare (sometimes deliver/retrieve) supplies needed for public and internal-IW events to ensure successful events and branding consistency
    • Process relevant data post-event in a timely manner
    • Work across departments to staff public IW events
    • Coordinate with Operations and relevant Program Directors to maintain adequate supplies across IW locations (ex/ letterhead)
    • Process supply requests on behalf of Development and Communications Team
    • Assist with organizing events and tours to ensure smooth and successful events
  • Public Profile Management
    • Answer main department email, phone, and mail to address general inquiries from donors, forwarding to other team members when needed
    • Maintain IW's profile on charity reviewer websites (ex. Candid, Charity Navigator)
  • Development and Communications Department Administration
    • Prepare and coordinate team meetings
    • Facilitate educational sessions across departments
    • Manage calendars: Communications, Grants, Campaign, Events and Tours, as needed
    • Vendor Management
      • Process invoices and submit them to Director in a timely manner
      • Process new vendors in conjunction with Office of Finance
      • Maintain IW's Business Reply Mail Permits with USPS
      • Liaison with print and mailing vendors for quarterly newsletter and other regular Communications projects
    • Departmental Budget
      • Draft expense budget in collaboration with Director based on goals from team members
      • Maintain campaign specific budgets
      • Track department expenses and apprise Director of spend rate
      • Reconcile with Finance records
      • Maintain record of gift cards received and report to Finance Office monthly
    • Workplace Giving
      • Provide coding and reports to Finance Office as needed
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills.
  • Demonstrated proactive approaches to problem‑solving with strong decision‑making capability.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Highly resourceful team player with the ability to work independently.
  • Must be available for occasional after‑hours and weekend support.
  • Experience using a CRM tool such as Bloomerang or Salesforce and an understanding of data accuracy within such a program.
  • Strong experience in Microsoft Office Suite especially Outlook, and Calendar.
  • Demonstrated experience organizing virtual meetings, e.g., Microsoft Teams and Zoom.
  • Experience with data analysis and visualization tools such as Excel and Power Point.
  • An ability to design and edit graphic presentations and materials using cloud‑based publishing software (i.e., Canva).
EDUCATION AND EXPERIENCE
  • Minimum 2 years' experience in an office setting required.
  • Minimum 1-2 years of experience in a fundraising, development, or demonstrably similar role.
  • High School Diploma or GED required.
  • Associate or bachelor's degree in a relevant field preferred.
