The College Foundation of the University of Virginia, a 501(c)(3), which exists to raise funds that support the College and Graduate School of Arts & Sciences, is conducting a search for a Development Coordinator.
The Development Coordinator will provide high-level administrative, data, and process management support primarily across the Administration and Donor Experience teams (Stewardship, Events, Marketing/Communications, and Boards), ensuring donor-facing initiatives are executed with consistency, professionalism, and attention to detail. The Development Coordinator is expected to work autonomously, manage competing priorities, and proactively anticipate the needs of team members and projects.
The Development Coordinator plays a central role in supporting the operational effectiveness of the Administration and Donor Experience teams. This position manages complex administrative workflows, coordinates vendors and logistics, maintains data integrity, and supports donor experience initiatives from planning through execution.
The successful candidate will be a self-directed professional with demonstrated experience supporting multiple stakeholders, improving processes, and managing details in a fast-paced, collaborative environment.
Candidate will have strong attention to detail, a high degree of accuracy, and exemplary time management skills. The incumbent should possess strong customer service skills, including the ability to professionally interact with a variety of constituents. A high level of discretion, confidentiality, and patience are essential.
This position is based in the College Foundation's Charlottesville office, which is currently operating under a hybrid work model. This is not a fully remote position.
Key Responsibilities
Cross-Functional Administrative & Operational Support
- Provide general administrative support, including preparing correspondence, filing, managing mail and packages, photocopying, and scheduling meetings.
- Coordinate calendars, meetings, materials, and workflows across Donor Experience teams to ensure alignment and efficient use of staff time.
- Operate with a high degree of independence, proactively anticipating needs, tracking deliverables, and following through to completion.
- Prepare professional correspondence, reports, presentations, and internal documentation as needed.
- Assist with administrative aspects of donor facing meeting and events, as well as post meeting record keeping
- Provide other administrative support as needed across departments
Data Management & Reporting
- Maintain and update donor and engagement data within relevant systems, ensuring accuracy, completeness, and timeliness.
- Support data integrity and consistency across systems used by the Donor Experience team.
- Produce standard and ad hoc reports, lists, and summaries to support stewardship and donor experience initiatives.
Process Management & Continuous Improvement
- Manage and support operational processes related to donor experience initiatives.
- Track workflows, deadlines, and outputs across multiple projects simultaneously.
- Identify opportunities to improve efficiency, documentation, and standardization; assist in developing and maintaining process guides, templates, and tools.
- Coordinate with external vendors supporting donor engagement and stewardship efforts.
- Manage timelines, deliverables, contracts, and related documentation to ensure alignment with project needs and organizational policies.
Donor Experience Support
- Support donor-facing initiatives through coordination of materials, mailings, acknowledgments, and follow-up activities.
- Interact professionally with donors, vendors, and internal colleagues, providing a high level of customer service and responsiveness.
- Handle sensitive donor and organizational information with discretion, confidentiality, and sound judgment.

Work Qualifications
- Degree required: High School Diploma, GED equivalent, or at least two years of experience in administrative support or similar role.
- This position requires proficiency with Microsoft Office Suite. Occasional evening and weekend work is required.
- Minimum level of relevant experience: Preference for at least 3 years of administrative support experience. Consideration may be given to candidates with at least 3 years of experience in a position with transferable skills.

- College Foundation employees are generally required to reside within a reasonable commuting distance of Charlottesville
Compensation
- Anticipated salary range $60,000 - $65,000
- Eligibility to participate in the College Foundation Bonus Plan
