Job summary

Join the small but might Boothbay Harbor Memorial Library (BHML) in the beautiful seaside town of Boothbay Harbor. Serving a year-round population of ~3,900 swelling over 25,000 in the summer, BHML serves a diverse population residents and visitors.

DEVELOPMENT & COMMUNICATIONS MANAGER
POSITION OVERVIEW

The Development & Communications Manager coordinates Boothbay Harbor Memorial Library’s fundraising, donor relations, sponsorships, communications, and philanthropic engagement activities.

Working closely with the Executive Director and Board of Trustees, the Manager supports annual and capital fundraising, develops donor and public communications, manages gift records and acknowledgements, coordinates sponsorships, and communicates the Library’s programs, services, needs, and impact to the community to broaden community support and foster a strong culture of philanthropy.

PRIMARY RESPONSIBILITIES
50% Development & Fundraising
  • Manage annual campaign operations, including gift processing, donor database entry, acknowledgements, pledge tracking, and donor records.
  • Work with the Fundraising Committee and Executive Director to coordinate one major annual fundraising gala fundraising, and a donor appreciation event.
  • Maintain accurate and confidential donor information in Bloomerang.
  • Identify and solicit sponsorships for summer reading and annual events, including acknowledgement and cultivation.
  • Manage matching gift programs and related documentation.
  • Assist the Executive Director in identifying, cultivating, soliciting, and stewarding individual, corporate, and foundation donors and prospects.
  • Coordinate donor stewardship, correspondence, meetings, recognition, and engagement activities.
  • Track sponsorship commitments, payments, benefits, and acknowledgements.
  • Research foundation, corporate, state, federal, and other grant opportunities.
  • Coordinate grant calendars, applications, supporting documentation, grant agreements, expenditures, and reports in collaboration with the Executive Director.
  • Explore and implement new opportunities to engage donors and encourage giving.
  • Coordinate volunteers supporting development activities.
  • Participate in capital campaign meetings, donor outreach, stewardship, and campaign activities.
  • Maintain development policies, procedures, records, and calendars.
  • Prepare regular donation and fundraising reports for the Executive Director and Board of Trustees.
35% Communications & Marketing
  • Develop and distribute the Library’s monthly eNewsletter and other mass patron and donor communications.
  • Maintain and update the Library website.
  • Manage and maintain the Library’s social media presence.
  • Creating and publishing the organization’s Annual Report
  • Develop and maintain an organizational communications calendar.
  • Work closely with the Assistant Director to promote Library programs clearly, consistently, and in a timely manner.
  • Develop fundraising and promotional materials including annual appeals, campaign updates, donor communications, sponsorship materials, newsletters, press releases, brochures, and event materials.
  • Use Library statistics, patron stories, photographs, program outcomes, and other information to communicate community impact.
  • Identify opportunities to increase public awareness of Library services and philanthropic opportunities.
15% Organizational & Outreach Support
  • Participate in staff meetings and appropriate Trustee or committee meetings.
  • Maintain strong internal communication regarding fundraising, grants, communications, donors, and community relationships.
  • Work collaboratively with the Assistant Director to coordinate program promotion, sponsorships, grants, and community outreach.
  • Assist with collecting, organizing, and communicating Library statistics for annual reports, grants, fundraising, public relations, and state reporting.
  • Provide occasional public-service or event support as needed and represent the Library in appropriate community relations activities.
  • Serves as the library’s primary contact for community-wide annual events (Windjammer Days, Boothbay Lights)
  • Perform other related duties as assigned.
ACCOUNTABILITY

The Manager is accountable for the effective administration of annual fundraising, donor records and stewardship, grants, sponsorships, communications, marketing, and related development activities.

Annual performance reviews are conducted by the Executive Director. The position includes an initial three-month probationary period followed by an evaluation.

STAFF RELATIONSHIPS

The Development & Communications Manager reports directly to the Executive Director and works with considerable latitude for independent action and decision-making within assigned areas of responsibility.

The Manager serves as staff liaison to the Board of Trustees fundraising committee and may coordinate volunteers supporting fundraising, communications, donor events, and special projects.

QUALIFICATIONS
  • Bachelor’s degree preferred.
  • Candidates with five or more years of progressively responsible experience in nonprofit development, communications, marketing, fundraising, grants, or a related field in lieu of a degree will be seriously considered.
  • Experience in nonprofit fundraising, donor relations, grant administration, communications, or related work strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and ability to build productive relationships
  • Strong organizational and project-management skills.
  • High degree of accuracy and attention to detail
  • Ability to work independently, exercise sound judgment, and manage multiple deadlines and priorities.
  • Experience with Bloomerang or another donor management system preferred.
  • Experience with email marketing, website content management, social media, and related digital platforms preferred.
  • Knowledge of Google Workspace and contemporary office technology.
  • Commitment to confidentiality, equitable public service, and the mission of public libraries.
WORK SCHEDULE

This is a full-time, 32 hours per week salaried position. The regular schedule is primarily weekday hours but includes occasional evenings and at least one Saturday per month. Flexibility is required for donor meetings, fundraising activities, Library events, and community meetings.

COMPENSATION & BENEFITS

Compensation is commensurate with experience and qualifications, $41,600.00 - $46,592.00. Benefits are governed by Boothbay Harbor Memorial Library’s Personnel Policy and include generous paid time off, employer-sponsored health insurance, and an employer-contributed retirement plan.
