This hybrid role includes managing donor databases, processing donations, and enhancing donor relations through effective communication. Zonta Foundation for Women seeks a permanent Development Associate who shares our passion to build a better world for women and girls.
Who you are:
You are a collaborative, organized individual with strong database and customer service skills. You possess excellent attention to detail and ensure a high level of accuracy in your work.
What you will focus on:
The Development Associate will support the Zonta Foundation for Women development team by providing customer support to members and donors from various parts of the world. This includes database entry/tracking, donor recognition, communications and correspondence and special projects. Core duties:
Development and Donor Management:
Enter new donor information into the donor database, ensuring accuracy and completeness.
Process donations, including entering transactions, generating receipts and reconciling records.
Prepare gift receipts, acknowledgement letters and other correspondence.
Maintain individual and other donor files in database and permanent files.
Support scheduling, preparations and logistics for internal and external development team meetings and events.
Assist in research on potential donors, prospects and funding opportunities.
Maintain detailed notes on donor interactions, as directed.
Perform general administrative duties associated with the development department such as but not limited to donor correspondence, returned mail processing, and supply inventory management.
Donor Stewardship and Recognition:
Implement donor recognition programs, including pin fulfillment and giving societies.
Prepare personalized thank you letters and impact reports.
Assist in organizing and executing donor appreciation events and annual mailings.
Collaborate on the creation and distribution of donor-facing materials.
Communications:
Serves as primary customer service representative managing the Foundation email inbox, supporting donor inquiries, and investigating questions.
Support review and update of website pages, forms, presentations and resources as requested.
Create and edit letters, certificates, and forms.
Other:
Provide support for annual mailings, board meeting preparation and assistance, and convention, as needed.
Other projects as assigned by the Development Manager.

Ability to establish a personalized daily 7.5 hours work schedule with a start time between 7:00 am and 9:00 am. Note: some overtime hours are required based on priorities throughout the year.

Location (hybrid):
This position is located in Oak Brook, Illinois.
The staff works remotely three days a week and in-office a minimum of two days a week (Tuesday and Wednesday).
Additional in-office work is required for training and special meetings including orientation and onboarding.

Working Conditions/Physical Requirements:
Ability to lift 15 lbs.
Occasional evening and weekend hours will be necessary to support committee and volunteer meetings and donor engagement and events. Frequency will vary as it depends on the organization’s needs.
