Job summary

New Music USA is seeking a Development Associate to support the fundraising team in New York City, focusing on individual giving and special events. You will manage donor records, process gifts, prepare tax receipts, and aid in meeting preparations using Bloomerang and other tools.

This full-time, non-exempt role reports to the Director of Development and requires presence in the Manhattan office three days a week, with occasional evening events.

Qualifications

  • Minimum of 1 year of experience in a nonprofit office setting; bachelor’s degree or equivalent a plus but not required.
  • Prior experience with a database or customer management system (CMS); Bloomerang experience a plus.
  • Proficiency with relevant software packages including Microsoft Office Suite, WordPress, Paperless Post, and similar platforms. Comfortable with learning new digital systems.
  • Ability to take initiative with projects and to work both independently and as part of a team.

Responsibilities

  • Create and maintain constituent records for donors, prospects, and other community members in Bloomerang CRM.
  • Process gifts generated by the Development team with precision and timeliness in Bloomerang.
  • Generate tax receipts and acknowledgment letters in a timely manner.
  • Achieve proficiency in Bloomerang CRM software for development functions, including bulk data imports and report generation.
  • With the Communications team, help coordinate in-house direct mail campaigns and support overall Annual Fund activities.
  • Compile and create materials for individual prospect meetings, Board meetings, and Development Committee meetings.
  • Coordinate, attend, and draft minutes and other documents for Development Committee meetings and Board meetings, as needed.
  • With finance, process check requests for department expenses.
  • Prepare donor listings for print and online publications.
  • Provide administrative assistance and onsite support at donor events, house concerts, and our annual Spring fundraiser, Table for 100.

Job Title: Development Associate
Classification: Full-Time, Non-Exempt
Reports to: Director of Development


Compensation: $27.47-$30.22/hour (7-hour workday, 50,000-$55,000/year) plus a generous benefits package including full employer-sponsored health insurance and extended vacation time (see below).


Location: NYC metro area, with presence in New Music USA’s Manhattan office required 3x/week. Regular attendance at evening events in NYC is expected.


Application review will begin on October 19. We will review applications as we receive them and will continue until an appointment has been made. Three references will be requested in the final round.


Position Overview:

Reporting to the Director of Development, the Development Associate is a core member of the development team. By providing essential administrative support, this role helps to implement New Music USA’s fundraising strategy, with a particular focus on individual giving and special events. The Development Associate ensures smooth day-to-day office operations across departments. We are looking for a detail-oriented and self-motivated team member who is excited about supporting the work of New Music USA and contributing to a small, dynamic, and collaborative team. Experience with database systems and/or event production a plus.


Key Responsibilities:

Development Operations and Individual Giving


  • Create and maintain constituent records for donors, prospects, and other community members in Bloomerang customer relationship management (CRM) software.

  • Process gifts generated by the Development team with precision and timeliness in Bloomerang.

  • Generate tax receipts and acknowledgment letters in a timely manner.

  • Achieve proficiency in Bloomerang CRM software for development functions, including bulk data imports and report generation.

  • With the Communications team, help coordinate in-house direct mail campaigns and support overall Annual Fund activities.

  • Compile and create materials for individual prospect meetings, Board meetings, and Development Committee meetings.

  • Coordinate, attend, and draft minutes and other documents for Development Committee meetings and Board meetings, as needed.

  • With finance, process check requests for department expenses.

  • Prepare donor listings for print and online publications.


Special Events


  • Provide administrative assistance and onsite support at donor events, house concerts, and our annual Spring fundraiser, Table for 100.

  • Support the creation of event materials, such as guest lists, table cards, invitations, giveaway items, and other collateral.

  • Prepare, send, and track invitations and online RSVPs through Paperless Post and Kindful/Bloomerang.


Office Operations


  • Serve as primary day-to-day liaison to office landlord.

  • Maintain supplies for the office; act as liaison to external IT company when needed.

  • Check the post office box twice per week; collect and circulate mail.

  • Support catering, travel, and other logistic needs for various organizational functions (e.g. staff retreats, board meetings).

  • Additional administrative tasks as assigned.


Required Skills and Experience

Preferred Skills and Experience


  • Familiarity with team project management systems such as Asana or Trello a plus.

  • Past experience in event planning and production, especially management of multiple details preferred.
