Job summary

We Are CASA is seeking a Development Administrative Assistant in Hyattsville, MD to support the development department and donor relations. You will maintain the donor database, create communications for funders, and assist with events, RSVPs, and vendor coordination.

Qualifications

Responsibilities

  • Maintain accurate donor database of contacts and funders, including communication preferences and giving history.

  • Manage receipt and deposit of checks and payments; record in databases.
  • Coordinate with Finance to ensure revenue records align.
  • Produce donor and funder gift acknowledgements.
  • Assist in event planning and securing vendors/sponsorships.
  • Provide office administration and respond to donor inquiries.
  • Prepare materials for funder visits and donor communications.
  • Assist in major donor prospect research and grant paperwork.
  • Collaborate with communications for annual report development.
  • Support volunteers with mailings and events.

DEPARTMENT SYNOPSIS:

We Are CASA’s Development Department raises funds and in‑kind contributions from foundations, government agencies, individuals, corporations, congregations, unions, and partner organizations to ensure We Are CASA’s financial stability.

POSITION SUMMARY:

We are seeking a motivated, detail‑oriented individual to join our team. The Development Administrative Assistant is responsible for providing administrative support to the development department, and specifically to the individual giving program. They are responsible for the integrity of the donor database, producing communications with funders and donors including letters, memos, emails, and other correspondence. This position also provides support for fundraising events, including tracking RSVPs, handling vendor relations, and managing other logistics, and providing other support for the development team.

ESSENTIAL RESPONSIBILITIES:
  • Maintain accurate donor database of contacts and funders, including communication preferences, and giving history for all individual, small business, and congregation donors.
    • Involves data entry, and diligent, detail‑oriented quality control to assist the development team in securing funding and maintaining utmost quality of stewardship of funds.
  • Assist in tailoring and improving We Are CASA’s fundraising software to track donor information and to segment We Are CASA’s donor base according to their interests and responses.
  • Design and produce queries, exports, and reports for the development team.
  • Manage the receipt and deposit of checks and other payments to We Are CASA as well as the proper recording of payment records in CASA’s database systems.
  • Coordinate with the Finance Dept to ensure financial accuracy between Development revenue records and Finance records.
  • Produce donor and funder gift acknowledgement.
  • Assist in event planning, to include managing logistics, maintaining RSVP list, assist in securing / managing vendors, assist in securing / tracking sponsorships.
  • Support in Office administration (organizing and filing, maintaining supplies).
  • Field general donor inquiries as received via phone, email, and MMS.
  • Support in preparing materials for funder and donor visits as needed.
  • Assist in major donor prospect research, tracking results of call time.
  • Assist in processing grant paperwork (obtaining signatures, returning documents via mail) and preparing proposals that require hardcopy submission, including delivery if needed.
  • Work with supervisor and We Are CASA’s communication team to develop We Are CASA’s annual report
  • Assist in preparing donor-facing documents
  • Work with volunteers to help with mailings, special events, and other development activities as needed.
  • Receive all department mail and route to appropriate team members.
  • Other duties assigned by supervisor.
EDUCATION/CERTIFICATIONS/LICENSURE
  • Two years of prior experience in the fundraising/nonprofit sector, preferably with a variety of skills and experiences (database management, relationship management, events, etc.)
  • Bachelor’s degree required or comparable experience
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
  • Interest in working for a social justice organization within the immigrant rights movement.
  • Highly organized and efficient, “can‑do” attitude, flexibility, commitment to teamwork, high degree of personal initiative.
  • Very strong computer skills, including knowledge of CRM software, MS Word, Excel, google apps. Background / knowledge of fundraising software a plus.
  • Strong project management skills: successful experience prioritizing and managing multiple tasks efficiently, as well as completing follow‑up.
  • Highly efficient, “can‑do” attitude, flexibility, teamwork, and attention to detail; high degree of initiative.
  • High expectations of the quality of work that comes out of the development office.
  • Ability to work efficiently in occasionally stressful environments.
  • Effective oral and written communication skills. Strong “people skills” – able to communicate professionally and congenially in writing and in person.
  • Supportive of We Are CASA’s mission and able to communicate the value of the mission to donors.
COMPENSATION:

$24.04 - $28.84

BENEFITS DESCRIPTION:

Who is eligible?

  • All full time and part time permanent positions working 20 hours or more per week.
