Job summary

MercyOne Newton Medical Center is seeking a part-time Department Support Assistant to perform clerical duties within the nursing unit and coordinate communications across departments.

The role supports safe patient care through chart maintenance, phone coverage, and timely message routing, while ensuring a clean, organized work environment and adherence to hospital policies.

• Must be at least 16 years of age.

Responsibilities

• Maintain charts, answer multi-line phones, greet and assist customers in a friendly and timely manner; sort and distribute mail.
• Utilize computer applications (Electronic Health Records, etc.) and communication technologies (Teletracking, Vocera, Hillrohm System, etc.) effectively.
• Communicate patient information or department needs (dietary, environmental services, IT issues).
• Maintain a safe, neat, and organized work environment by stocking supplies and equipment; enter repair requests; conduct environmental rounding.
• Prepare documents and records in compliance with regulatory requirements.
• Demonstrate safe medication handling practices for delivery and removal of medications.
• Audit records, data, and transactions as requested by unit management.
• Maintain meeting room schedules.
• Perform other duties as assigned by the manager.

As a Department Support Assistant at MercyOne, performs clerical work and coordinates communications within the assigned nursing unit. Facilitates communication between the nursing unit and other hospital departments.

General Requirements

• Performs clerical duties for the nursing unit by maintaining charts; answering multi-line phones; greeting and assisting customers in a friendly and timely manner; and sorting and distributing mail.
• Utilizes computer applications (Electronic Health Records, etc.) and communication technologies (Teletracking, Vocera, Hillrohm System, etc.) effectively.
• Communicates patient information or department needs such as dietary, environmental services, and all Information Technology issues.
• Maintains a safe, neat, and organized work environment by ordering and stocking supplies, forms, and equipment as necessary. Identifies and reports problems with supplies or equipment; enters repair requests; and conducts environmental rounding.
• Prepare documents and records in compliance with regulatory requirements.
• Demonstrates work practices consistent with safety, security, and infection control policies, including adhering to the Safe Medication Handling protocol for both delivery and removal of medications.
• Conducts auditing of records, data, and transactions per unit management team request.
• Maintains meeting room schedules.
• Other duties as needed and assigned by the manager.

Minimum Requirements

• Must be at least 16 years of age.
