  • Track headcount, appointment status, and effort reporting for reporting requirements.
  • Provide backup support for credentialing and onboarding tasks.
  • Train and supervise staff; assist with faculty committee logistics and minutes.
  • Ensure compliance and contribute to policy development within the department.

JOB SUMMARY

Works under minimal direction to provide Departmental coordination of all aspects of new and existing faculty academic appointments in large and complex departments to include, but not limited to: appointments, reappointments, evaluations, promotion and tenure process, post-tenure process, and other changes of a faculty member’s appointment for a large academic department. Works closely with the Southwestern Medical School (SMS) Office of the Dean. Requires frequent walking between office locations, departmental meetings, and administrative offices across campus.

Expected Start Date after October 1, 2026.

EXPERIENCE AND EDUCATION

JOB DUTIES
  • Coordinate faculty recruitment activities, including posting positions, managing search committee logistics, scheduling candidate interviews, and preparing offer letters.

  • Coordinate and manage faculty administrative processes throughout the faculty lifecycle, including Annual Faculty Evaluations, Promotion and Tenure Reviews, Post-Tenure Reviews, and related activities

  • Coordinates Department annual faculty reappointment letter process.

  • Track and report faculty-related data (headcount, appointment status, effort reporting) for department and institutional reporting requirements.

Provide backup and support to the Credentialing Coordinator for faculty onboarding tasks, including new hire paperwork, credentialing/privileging coordination, orientation scheduling, and systems access setup, as needed.

  • Train, schedule, and manage performance of direct staff, including conducting evaluations and coordinating daily workflow assignments.

  • Assist with faculty committee support, including scheduling, agenda preparation, and minutes for faculty affairs–related committees.

  • May gather information to ensure compliance of malpractice/risk management for faculty, fellow and residents.

  • Process space survey.

  • Provide back-up administrative support to the Department Chair.

  • Performs other duties as assigned.

  • Work requires ability to read, write, analyze data and develop plans, procedures, and coordinate persons and other resources to accomplish goals.

  • Work requires personal and telephone contact with all levels of internal external personnel and organizations.

  • Work requires responsibility for maintenance and tracking of accounts assigned to projects or programs.

  • Work requires responsibility for reviewing, developing, recommending, and implementing policies and procedures relating to assigned activity, program, or f function.

  • Work requires strong written and verbal communication skills.
