Position Overview

The IT Department Administrator provides essential administrative and operational support to the Information Technology department. This role is responsible for coordinating departmental activities, managing documentation, scheduling meetings, tracking projects, and facilitating communication among IT staff, vendors, and business partners. The Administrator ensures smooth day-to-day operations, assists with procurement and inventory, and supports compliance and reporting requirements. By maintaining organized processes and effective communication, the IT Department Administrator helps the IT team deliver reliable technology services to the organization.

Primary Responsibilities
  • Coordinate and schedule meetings, appointments, and departmental events for IT leadership and staff.
  • Maintain and organize departmental documentation, including policies, procedures, contracts, and project files.
  • Track and report on IT projects, initiatives, and service requests; assist with status updates and follow-ups.
  • Serve as the primary point of contact for internal and external communications, including vendors and business partners.
  • Assist with procurement of IT equipment, software, and services; manage inventory records and asset tracking.
  • Support onboarding and offboarding processes for IT staff, including access requests and documentation.
  • Prepare and distribute departmental communications, reports, and presentations as needed.
  • Monitor and ensure compliance with company policies, IT standards, and regulatory requirements.
  • Assist with budget tracking, invoice processing, and expense reporting for the IT department.
  • Provide general administrative support, including ordering supplies, maintaining calendars, and handling correspondence.
  • Serve as a liaison with facilities management for IT department workspace needs, repairs, and maintenance requests.
  • Assist with space planning, workstation assignments, and moves within the IT department.
  • Support safety and emergency procedures, including maintaining contact lists and assisting with evacuation drills.
  • Complete any additional responsibilities and/or duties as assigned.
Qualifications
  • Minimum of 5 years of experience in an administrative, coordinator, or support role, ideally within an IT or technical environment.
  • Strong organizational and time management skills, with attention to detail and accuracy.
  • Excellent verbal and written communication skills; ability to interact professionally with all levels of staff and external partners.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with IT ticketing or project management systems.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Experience with procurement, inventory management, or vendor coordination preferred.
  • Demonstrated ability to handle sensitive information with integrity and discretion.
Physical Requirements
  • Minimal travel to stores, offices, or distribution centers.
  • Duties frequently involve being seated for extended periods of time and using computers.
  • Ability to see, hear, and speak regularly.
  • Ability to grip, reach, and pinch with arms and hands frequently.
  • Ability to bend and twist occasionally.
