Job summary

Asian Health Services is seeking a Front Desk/Receptionist to be the patient’s first contact by phone or in person. You will greet, register, schedule appointments, and verify eligibility, using Dentrix and our manual systems.

Requirements include a high school diploma, at least two years of dental front desk experience (insurance verification and pre-authorization), bilingual English and Vietnamese, and a willingness to learn.

Responsibilities

  • Assemble and confirm patient schedule; make appointment reminder calls.
  • Greet and register patients, answer phones, screen calls, and take messages.
  • Use Dentrix and manual systems to update patient records for billing and scheduling.
  • Prepare patient records and verify eligibility with Member Services.
  • Undertake pre-authorization of treatment procedures with insurance or payors.
  • Provide estimates of treatment clearly to patients.
  • Provide out-of-clinic referrals and follow-ups.
  • Perform patient billing tasks and posting payments; reconcile accounts; transmit claims.
  • Receive payments and maintain secure bookkeeping at the front desk.
  • Process mail and inter-office communications; handle fax and copying.
  • Support staff and provide language interpretation as needed.
  • Promote trust and confidentiality in patient interactions.
  • Attend staff and department meetings; participate in quality improvement initiatives.

Job Summary

Under the general supervision of the Dental Supervisor RDA-Clinic Coordinator and the Dental Operation Manager is the patient’s initial contact by phone or in person.

  • Assembling and confirming patient schedule, make appointment reminder calls.
  • Perform clinic reception duties: greet and register patients, answer phones, screen calls, and take messages.
  • Use the computerized Dentrix system and manual system to create and update patient records for bookkeeping, billing, and scheduling appointments.
  • Prepare patient records and verify Member Services Department eligibility and/or medical clinic authorization.
  • Undertakes all pre-authorization of treatment procedures with insurance or payors.
  • Give patients estimates of treatment making sure to communicate in a clear, understandable, and respectful manner.
  • With appropriate instruction, provide out-of-clinic referrals and follow-ups.
  • Perform patient billing tasks that include timely electronic and manual processing of billable services, posting payments, reconciling or adjusting patient accounts, and transmissions of claims to insurances and third-party payors, etc.
  • Responsible to receive payments and accurate and secure bookkeeping duties at the front desk. Ensure safekeeping and timely submission of cash collection to the Fiscal department.
  • Perform administrative and clerical services like processing incoming/outgoing mail and inter-office communications and notices, fax and copying.
  • Provide other support or assistance to other staff as requested, when appropriate, and if time allows, such as language interpretation, etc.
  • Foster an environment that promotes trust and cooperation among patients and staff.
  • Implement and enforce clinic policies and procedures, including maintenance of patient confidentiality.
  • Attend staff, department, and AHS general membership meetings.
  • Assist in agency advocacy and outreach activities, serve on ad hoc committees, and attend AHS organizational events, as requested and when duties allow.
  • Participates in agency-wide quality improvement program processes and performance improvement teams to ensure excellence in the quality of services provided across the agency.
  • Must show proof of high school diploma
  • Must be prepared to demonstrate these skills
  • Must show a strong willingness to learn and be trained in the requirements of a dental clinic work environment
  • Bilingual in English and Vietnamese
  • Minimum of two years of work experience in dental office front desk duties that include insurance eligibility verification, treatment pre-authorization, and patient billing.
  • Some training in dental or medical terminology, preferably some formal training in dental assisting.
