Sign on Bonus: $3,500

The Assistant Dental Manager plays a vital leadership role by supporting the Office Manager and working alongside clinicians to ensure efficient daily operations, a cohesive team culture, and excellent patient experiences for children and their families. This position requires strong communication, attention to detail, and the ability to lead by example across all areas-scheduling, patient workflow, billing, documentation, collections, compliance, and staff development.

You'll help ensure the practice operates efficiently and meets or exceeds production, revenue, and compliance goals while maintaining a positive, collaborative environment rooted in servant leadership.

Key Responsibilities

  • Leadership & Team Development:

    • Foster a culture of open communication and accountability across all team members.

    • Lead daily huddles to align staff with daily priorities, share updates, and address challenges.

    • Serve as a first point of support for both clinical and administrative staff-resolving concerns with empathy and logic.

    • Train and support new and existing staff to ensure competency with systems, policies, and protocols.

    • Consult with HR regarding performance concerns; assist in implementing performance plans when needed.

  • Operations & Patient Experience:

    • Monitor patient scheduling, ensure smooth daily workflow, and help minimize wait times for families.

    • Ensure all practice data-clinical documentation, treatment notes, and billing-is accurate and completed daily.

    • Help manage insurance eligibility checks, benefit-cost sharing interpretation, and coordination of patient financing.

    • Actively support positive, family-friendly interactions with patients and parents.

    • Maintain compliance with HIPAA, OSHA, and pediatric-specific regulatory requirements.

  • Practice Performance & Compliance:

    • Understand and track key performance indicators (KPIs) including:

      • Revenue/Production

      • Variable expenses

      • Labor allocation and payroll

    • Assist in identifying solutions to meet or exceed monthly practice goals.

    • Support inventory oversight, vendor relations, and general office supply needs.

    • Adapt to and support change, especially in implementing new systems or company-wide initiatives.

Qualifications

  • Minimum 2+ years of experience in a dental or medical leadership role (pediatric dental preferred)

  • College degree preferred; advanced healthcare certifications a plus

  • Strong knowledge of:

    • Servant leadership and team-building techniques

    • Dental insurance processes and benefit-cost sharing

    • Dental patient engagement systems and communication platforms

    • Daily closeout practices, including clinical note review and billing accuracy

  • Proficiency in dental software (e.g., Dentrix), EMR systems, and insurance platforms

  • Excellent organizational and multitasking skills in a fast-paced pediatric environment

  • Computer proficiency required: Microsoft Office (Excel, Outlook, Word), Windows OS

  • Experience with telecommunications systems and general office equipment
