Job description

POSITION SUMMARY

The purpose of this position is to provide support to the Dean of Students in all aspects of operating the Deans' offices. Position holder ensures that the Deans' offices are running smoothly by establishing a flow of accurate and timely information/materials to all stakeholders. Specific duties will vary between buildings depending on their individual needs.

The essential functions of this position include, but are not limited to, the following fundamental duties:
  • Accurately establishes and maintains all student files in the school office which include requesting student records, establishing a cum file, giving records to the appropriate Dean, assessing needs of new families, providing family registration materials, and contacting the bus company.
  • Accurately maintains the student information system to include registering new students, removing transferred students, creating schedules and modifying student data.
  • Efficiently process reports /updates for mid-terms, grades, report cards.
  • Maintain accurate student schedules by updating when necessary.
  • Assist Dean with organization and paperwork involved with all testing
  • Assist the Dean with the organization, letters home to parents, permission slips and inputting of hours into an excel spreadsheet for the Targeted Services program.
  • Accurately maintain all emergency/bus information.
  • Assist with registration for the following school year by typing new registration booklets for each grade, collecting registration forms, and compiling a list of band students for each grade.
  • Assist with 6th grade registration by contacting each elementary school for lists of incoming students and having appropriate materials/paperwork ready.
  • Prepare materials for Parent and Student Campus portal.
  • Accurately process all end of the year reports.
  • Forward all 8th grade academic files to appropriate high school in a timely manner.
  • Cordially greets all students, parents, staff and visitors in the building and successfully handles all questions and requests made by them.
  • Efficiently answers phone calls by responding to requests for information or directing callers to appropriate personnel.
  • Other duties as assigned.
