Job Description
The Data Systems & Analytics Manager supports KIPP Tulsa Public Charter Schools by ensuring that student data systems, reporting processes, and data tools are accurate, reliable, accessible, and useful to school and organizational leaders.
This role serves as the primary administrator and support contact for key student information and educational technology systems across KIPP Tulsa's schools. The Data Systems & Analytics Manager is responsible for maintaining data quality, supporting required reporting and compliance activities, developing and maintaining dashboards and reports, and helping staff effectively use data and technology systems.
The ideal candidate is highly organized, detail-oriented, technically proficient, and able to translate data into clear and actionable information for a variety of audiences. This position works collaboratively with school leaders, operations staff, instructional teams, external partners, and other members of the KIPP Tulsa team.
Serve as KIPP Tulsa's primary administrator and point of contact for designated student information, assessment, attendance, behavior, demographic, gradebook, and other educational technology systems.
Manage the collection, maintenance, and quality of student data across designated systems.
Maintain appropriate user accounts, access roles, permissions, and data security practices within assigned systems.
Support the accuracy of student course schedules, enrollments, demographic information, attendance records, grades, and other student information.
Coordinate and support annual and recurring processes related to master scheduling, report cards, student enrollment, and other data-dependent school operations.
Troubleshoot system and data issues for school and organizational staff and coordinate with vendors or other partners when additional technical support is required.
Manage relationships with designated data and educational technology vendors, including communicating system updates, changes, and scheduled downtime to appropriate stakeholders.
Develop and maintain procedures and documentation related to system use, data entry, data maintenance, and data quality.
Provide onboarding, training, and ongoing support to staff members who use assigned systems.
Identify opportunities to improve the efficiency and reliability of data systems and related processes.
Coordinate recurring student data reporting and data requests for internal and external stakeholders, including school leaders, authorizers, grant partners, the KIPP Foundation, and other approved partners.
Ensure assigned reports and data submissions are completed accurately and within established deadlines.
Develop and maintain calendars, procedures, and quality-control processes for recurring data and reporting requirements.
Conduct routine data audits to identify missing, inconsistent, or inaccurate information and work with appropriate staff to resolve discrepancies.
Maintain documentation of reporting requirements, definitions, processes, and submission procedures.
Support KIPP Tulsa's compliance with applicable student data privacy, confidentiality, and records-management requirements.
Respond to approved school-level, student-level, and organizational data requests in a timely and accurate manner.
Develop, maintain, and improve recurring reports and dashboards that provide school and organizational leaders with timely access to key information.
Use reporting and visualization tools, including Tableau or similar platforms, to present information in clear and accessible formats.
Analyze student achievement, attendance, enrollment, behavior, demographic, and other organizational data to identify patterns, trends, and areas requiring attention.
Regularly monitor key organizational and school-level metrics and communicate significant changes or trends to appropriate stakeholders.
Translate data findings into clear summaries, observations, and actionable information for audiences with varying levels of data expertise.
Partner with school and organizational leaders to understand reporting needs and develop practical data solutions.
Gather feedback from end users and continuously improve reports, dashboards, and other data products.
Support the development and maintenance of a centralized location where staff can access commonly used reports and dashboards.
Maintain documentation of reporting methodologies, data definitions, and analytical processes to promote consistency and accuracy.
Maintain working knowledge of KIPP Tulsa's primary data sources and incorporate system or reporting changes into existing reports and processes.
Collaborate with internal and external partners to maintain accurate connections between KIPP Tulsa's student information systems, reporting tools, and other approved data sources.
Develop a working understanding of KIPP Tulsa's data structure and system integrations to support data-quality investigations and reporting needs.
Monitor data transfers and integrations for common errors or inconsistencies and coordinate resolution when issues are identified.
Support the maintenance of centralized organizational data resources, including data warehouses or other consolidated reporting environments, as applicable.
Assist with testing system updates, integrations, reports, and new features before implementation.
Document common data flows, system relationships, troubleshooting procedures, and recurring data-quality issues.
Escalate complex database, integration, or infrastructure issues to appropriate technical partners when necessary.
Build positive working relationships with school leaders, teachers, operations staff, and organizational team members to understand their data and systems needs.
Help stakeholders identify the appropriate data, reports, or systems to answer operational and instructional questions.
Provide training and support to increase staff confidence in accessing, interpreting, and appropriately using organizational data.
Support school leaders in using available data to monitor student outcomes and inform planning and decision-making.
Participate in cross-functional conversations related to data, accountability, compliance, operations, and organizational performance.
Gather feedback from stakeholders regarding current and future reporting and system needs and communicate recommendations to appropriate organizational leaders.
Contribute to the continuous improvement of KIPP Tulsa's data practices, reporting processes, and systems.

This is a Full-Time, 12-month position.
The salary range for the Data Systems & Analytics Manager is $55,000–$65,000 annually, commensurate with experience and qualifications.
