Emily’s Entourage is seeking a highly organized, technically skilled Data Operations & Evaluation Manager to oversee databases, ensure data integrity, and provide strategic insights across the organization to support informed decision-making and drive impact.

About the Position

We are seeking a highly organized, technically skilled Data Operations & Evaluation Manager to oversee our fundraising and clinical trial databases while providing strategic support across the organization. This role focuses on database administration, data integrity, reporting, and analytics, enabling informed decision-making across Development, Programs, Research, Marketing and Communications, and Operations.

The position may report to the Director of Development or Chief of Staff, with a dotted line to the other, reflecting its cross-functional impact. This role is ideal for someone who enjoys technical problem-solving, system building, and analyzing and translating data into actionable insights, with opportunities to grow into broader analytics and evaluation responsibilities over time.

As the central steward of organizational data, this position requires excellent judgement, strong instincts about data governance, the ability to think strategically and cross-functionally, and a commitment to data security. This position collaborates closely with staff and leadership across the organization, ensuring accurate, reliable data is available to inform decisions, track progress toward organizational goals, and support strategic initiatives. The Manager will also collaborate with and oversee external contractors.

Key Responsibilities

Database Administration & Integrity

  • Serve as the lead administrator for fundraising and clinical trial databases, maintaining clean, accurate, and timely donor and registrant records.
  • Provide first-line troubleshooting for database and integration issues, coordinating with contractors or vendors when needed.
  • Implement custom fields, filters, and conventions, maintain high data integrity, and perform ongoing cleaning and deduplication.
  • Ensure operational updates performed by other staff are consistent and accurately reflected in the CRM systems.
  • Support clinical trial database management, including data quality processes such as deduplication and record reconciliation, to ensure accuracy, completeness, and compliance.
  • Build and maintain clear SOPs, data standards, and documentation to ensure consistency.
  • Ensure strict confidentiality of sensitive data, including donor and registrant records, implementing best practices around permissions, access, and secure data management.
  • Oversee work performed by external CRM or technical contractors, ensuring quality, accuracy, compliance, and adherence to SOPs.

Data Imports, CRM Integration & Audience Support

  • Manage regular data imports from platforms including GiveButter, Meta (Facebook and Instagram), GiveLively, Salesforce, and others, verifying accuracy and mapping to the CRM.
  • Ensure all CRM systems remain integrated, supporting seamless data flow across platforms.
  • Build and maintain segmented email lists for Marketing and Development teams to reach diverse audiences effectively.
  • Utilize appropriate data integration tools to support workflow efficiency and reporting.

Reporting & Analytics

  • Produce regular reports, dashboards, and visualizations to help teams track KPIs and progress toward organizational goals.
  • Act as an internal analytics consultant, providing guidance on interpreting data and identifying actionable insights.
  • Support leadership and staff in tracking progress against key metrics and reporting, ensuring data-driven insights are available to guide decisions across Development, Programs, Research, Marketing and Communications, and Operations.
  • Support evaluation of events, campaigns, and programs, with opportunities to expand into broader organizational analytics responsibilities.

Event & Sponsorship Data Support

  • Track event-related contributions, registrations, auction items, and sponsor deliverables, ensuring accurate records for reporting and analysis.
  • Collaborate with staff handling administrative event logistics to ensure database accuracy and timely reporting and regular updates.
  • Support reconciliations and reporting for fundraising campaigns and sponsorships.
  • Partner with key team members to ensure fundraising event and appeal details are up-to-date in relevant systems and platforms, including the website, to support data integrity and appropriate platform integrations

Process Improvement & Systems Innovation

  • Identify opportunities to improve data workflows, reporting, efficiency, and impact.
  • Develop, document, and refine standard operating procedures, data workflows, and system processes to improve reliability and efficiency.
  • Provide guidance to staff on best practices for database management, evaluation, and reporting.
  • Recommend and implement new tools or integrations to strengthen organizational data capabilities.
  • Provide backup and administrative support to members of the development team, enabling cross-functional collaboration and cross-training.
  • Perform additional duties, as assigned.

Qualifications

  • Bachelor’s degree in Computer Science, Database Administration, Records Management, or related field preferred.
  • Advanced experience with Bloomerang and Salesforce required.
  • 3–5 years of experience managing nonprofit or research databases.
  • Ability to effectively manage competing priorities and deadlines and produce quality work in a fast-paced environment
  • Proven experience developing or maintaining SOPs, documentation, or data governance processes.
  • High level of discretion and reliability in handling confidential and sensitive data.
  • Proficiency with Excel, Google Suite, and other data integration tools.
  • Meticulous, detail-oriented, and highly organized with a solution-oriented approach and strong follow-through.
  • Strong written and verbal communication skills; able to translate data for non-technical staff.
  • Collaborative and adaptable, able to work across multiple teams and functions.
  • Interest in growing into strategic reporting, analytics, and evaluation responsibilities.
  • Fully remote, with occasional travel for in-person meetings (~1–2 times per year).
  • A passion for leveraging data to support EE in achieving its mission of fast breakthroughs for CF.

Pay and Benefits

This is a full-time, salaried position. The salary range for this role is $55k-$70k, commensurate with experience, plus a generous PTO plan and health and retirement benefits.
