Job summary

Data Manager

Full time salary Queens, NY, US

Salary Range: $75,000.00 To $80,000.00 Annually

Summary

The Data Manager provides strategic and operational leadership for New York Edge’s program data, reporting, compliance, and continuous quality improvement functions . This role leads the Data Department, establishes clear standards and workflows, develops staff capacity, and ensures that program leaders have timely, accurate, and actionable information to guide decision-making. The Manager oversees the organization’s use of funder and program data systems, coordinates recurring reporting and evaluation projects, and works closely with executive leadership, program leadership, development, finance, and external funders to ensure data supports contractual compliance, organizational learning, program improvement, and funding initiatives.

Leadership and Department Management

Provide day-to-day leadership, supervision, coaching, and performance management for the Data Department.

Establish annual and quarterly department priorities, work plans, service standards, timelines, and measurable performance goals aligned with organizational and funder requirements.

Delegate responsibilities based on staff capacity and program needs; monitor workload, quality, timeliness, and follow-through across the team.

Build a structured operating model for the department, including recurring team meetings, project tracking, escalation protocols, quality-control checkpoints, and clear ownership of deliverables.

Develop onboarding, cross-training, professional development, and succession plans that strengthen team capacity and reduce reliance on any single staff member.

Partner with Borough Leaders and senior program staff to align Data Coordinator assignments and support with each portfolio’s priorities and performance needs.

Serve as an escalation point for complex data, reporting, compliance, and system issues, ensuring risks are identified early and resolved promptly.

Promote a service-oriented, accountable, and collaborative department culture focused on accuracy, responsiveness, and continuous improvement.

Data Strategy, Analysis, and Continuous Quality Improvement

Lead the organization’s program data strategy and translate leadership priorities into clear reporting, analysis, and evaluation plans.

Develop and manage year-round analytical projects, including ROP analysis, survey outcomes, EMT analysis, program summary reporting, enrollment and attendance trends, and other organizational priorities.

Analyze quantitative and qualitative data to identify trends, performance gaps, risks, and opportunities for program improvement.

Create actionable data briefs, dashboards, charts, presentations, and recommendations for executive leadership, Borough Leaders, program teams, funders, and other stakeholders.

Facilitate regular data review conversations with program leadership and help teams develop, document, and monitor corrective action plans.

Ensure that data collection and reporting practices are aligned with New York Edge’s mission, strategic goals, and Continuous Quality Improvement framework.

Oversee the collection, analysis, reporting, and summarization of program-centered surveys and other feedback instruments.

Support research and evaluation projects that strengthen program design, demonstrate outcomes, and advance public and private funding opportunities.

Compliance, Data Quality, and Reporting

Maintain a comprehensive calendar of internal, contractual, regulatory, and funder reporting requirements, with clear owners, review steps, and submission deadlines.

Ensure timely, complete, and accurate reporting for DYCD, DOE, 21st Century Community Learning Centers, Empire/OCFS, and other applicable funders and oversight agencies.

Interpret funder guidance and translate requirements into practical procedures, training, templates, and quality-control tools for program and data staff.

Oversee data audits, reconciliations, validation routines, exception reporting, and remediation plans to ensure data integrity across programs.

Establish documentation standards for data definitions, reporting logic, source systems, procedures, and recurring deliverables.

Identify compliance or data-quality risks, communicate them to appropriate leadership, and track corrective actions through resolution.

Serve as the primary data liaison to DYCD and coordinate regularly with other external agencies regarding reporting, system, and data requirements.

Prepare and present data for monitoring visits, audits, leadership meetings, board-level discussions, grant applications, and funder reviews as needed.

Systems, Processes, and Organizational Coordination

Oversee the secure, appropriate, and effective use of program and funder data systems, including DYCD Connect, Salesforce, 21stCCLC, and other systems adopted by the organization.

Assess business and reporting needs, identify process gaps, and design practical workflows that improve data collection, communication, accountability, and timeliness.

Coordinate with Operations, Program, Finance, Development, Human Resources, and external partners to ensure data processes are aligned and information can be shared appropriately across departments.

Help prevent fragmented or duplicative “silo” systems by promoting consistent data definitions, standard operating procedures, and coordinated technology planning.

Lead the development and continuous improvement of reporting workbooks, templates, intake tools, guidance documents, and other resources used by Elementary, Middle, and High School programs.

Plan for seasonal reporting cycles, program launches, system changes, and long-term data projects; communicate dependencies and readiness needs in advance.

Ensure appropriate access controls, confidentiality practices, record retention, and secure handling of participant, staff, and organizational data.

Coordinate with internal technology staff and external vendors or consultants when specialized system support is required.

Training, Communication, and Stakeholder Engagement

Develop and deliver role-based training for Data Coordinators, site staff, program leadership, and other users on data entry, reporting, interpretation, compliance, and quality standards.

Provide program leaders with clear tools, guidance, and coaching so they can independently monitor performance and address data concerns throughout the year.

Build a responsive communication network between the Data Department, Borough Leaders, site teams, and executive leadership.

Meet with organizational stakeholders to clarify information needs, define deliverables, establish realistic timelines, and communicate progress or barriers.

Partner with Development and leadership on grant writing, private development, impact reporting, and research initiatives by identifying and presenting relevant evidence.

Present complex data and processes in a clear, concise, and audience-appropriate manner.

Represent the Data Department in internal and external meetings and contribute to cross-functional planning and organizational improvement initiatives.

Required Knowledge, Experience, and Skills

At least four years of progressively responsible experience managing program data, reporting, compliance, research, evaluation, or related functions; nonprofit or youth-development experience strongly preferred.

Demonstrated supervisory experience, including staff development, delegation, performance management, and team accountability.

Proven project-management experience with a documented history of successfully completing complex, deadline-driven projects involving multiple stakeholders.

Advanced proficiency in Microsoft Excel, including data cleaning, validation, formulas, pivot tables, lookups, and analysis of large datasets.

Experience with funder or government reporting systems; prior experience with DYCD Connect, Salesforce, Youth Services, Empire/OCFS, or 21stCCLC systems is a plus.

Strong knowledge of data-quality controls, audit practices, reporting workflows, documentation standards, and confidentiality requirements.

Ability to interpret complex requirements, map processes, identify risks, and convert organizational needs into clear procedures and deliverables.

Excellent written, verbal, presentation, and facilitation skills, with the ability to communicate effectively at all levels of the organization.

Strong analytical judgment, attention to detail, problem-solving ability, and capacity to reconcile information from multiple sources.

Demonstrated ability to prioritize competing requests, manage shifting deadlines, and maintain reliable follow-through in a fast-paced environment.

Ability to train and coach others in data use, evaluation, reporting, and internal systems.

Preferred Qualifications

Bachelor’s degree in data analytics, public administration, education, social sciences, information management, nonprofit management, or a related field; equivalent relevant experience may be considered.

Experience supporting Continuous Quality Improvement, performance management, program evaluation, grant reporting, or outcomes measurement.

Experience leading organizational change, standardizing cross-department processes, or implementing new reporting and data-management practices.

Strong presentation skills and experience preparing materials for executive leaders, funders, auditors, or boards.
