About Episcopal School of Baton Rouge

The Episcopal School of Baton Rouge is an independent PreK-12 institution dedicated to academic excellence, innovation, and the holistic development of students. We are seeking a Data Entry Specialist to join our remote team to maintain accurate records and support the seamless operation of school systems.

This position plays a vital role in ensuring the accuracy, security, and accessibility of school data across administrative, academic, and operational departments.

Position Summary

The Data Entry Specialist is responsible for accurately entering, updating, and maintaining data in school systems, including student information systems (SIS), learning management systems (LMS), HR databases, and advancement/fundraising platforms. The ideal candidate is detail-oriented, organized, and able to handle sensitive information with confidentiality.

This is a remote position, but occasional travel to Baton Rouge, Louisiana, may be required for key training sessions or system rollouts.

Note: Only candidates who are U.S. Citizens will be considered due to data security and compliance requirements.

Key Responsibilities
  • Data Management: Accurately input, update, and maintain records across multiple systems (SIS, LMS, HR, advancement). Perform regular audits of data to ensure accuracy, consistency, and completeness. Verify and cross-check information against source documents before entry. Assist in preparing reports, lists, and exports as requested by leadership or departments.
  • Quality Assurance: Identify and correct errors in data entry. Flag discrepancies and communicate with appropriate departments for resolution. Maintain compliance with FERPA, HIPAA, and institutional data privacy standards.
  • Collaboration & Support: Work closely with admissions, academics, HR, and advancement teams to support their data needs. Provide assistance with enrollment data, grades, attendance records, staff records, and donor information. Assist with bulk uploads, database clean-up projects, and migrations when required.
  • Documentation & Reporting: Maintain updated documentation on data entry procedures. Assist in creating user-friendly manuals for staff who access or input data. Generate periodic reports and dashboards for administrators.
Required Qualifications
  • Citizenship: Must be a U.S. Citizen.
  • High school diploma or equivalent; Associates or Bachelors degree preferred.
  • Minimum 2+ years of data entry or administrative support experience.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace.
  • Strong typing speed and accuracy.
  • Excellent attention to detail and organizational skills.
  • Ability to handle confidential information responsibly.
  • Strong written and verbal communication skills.
  • Ability to work independently in a remote environment while meeting deadlines.
Preferred Qualifications
  • Experience with educational data systems such as Blackbaud, Veracross, or FACTS.
  • Familiarity with CRM systems (e.g., Salesforce, Raisers Edge) for advancement/fundraising support.
  • Prior experience working in a school or nonprofit environment.
Work Environment & Remote Expectations

Fully remote position with communication via video conferencing, email, and collaboration tools. Must maintain a secure and professional home office setup with reliable high-speed internet. Occasional travel to Baton Rouge, LA, may be required for training or data system projects (travel covered by the school). Standard work schedule is Monday-Friday, with occasional flexibility required for reporting cycles or special projects.
