Job summary

UND Alumni Association & Foundation is seeking a Data Coordinator to maintain constituent records, support recurring data processes, and prepare reports for fundraising, alumni engagement, events, and constituent services.

You will collaborate with colleagues across the organization, ensure data quality, assist with workflows, and provide reliable service with attention to detail and accuracy.

Qualifications

  • Education: High school diploma is required.
  • Associates degree in Business, Information Management or Communications preferred; equivalent experience may substitute.
  • Experience with CRM systems, databases, or similar software.
  • Proficiency in Microsoft Excel and Office suite.
  • Nonprofit, higher education and alumni/membership experience preferred.

Responsibilities

  • Maintain accurate constituent and related database records.
  • Process updates, data requests, and recurring database tasks.
  • Prepare lists, imports/exports, and data files for reports.
  • Support acknowledgments, recognition lists, and workflows.

The UND Alumni Association & Foundation is seeking a Data Coordinator to help ensure the quality and integrity of the information that powers our fundraising, alumni engagement, events, and constituent services.

REQUIRED:

POSITION SUMMARY

The Data Coordinator provides operational data support for assigned programs and departments across the UND Alumni Association & Foundation. This position maintains constituent information, supports recurring operational processes, performs data quality activities, and helps ensure organizational data remains accurate, reliable, and consistent with established standards.

Working closely with the Operations Data Specialist and internal partners, the Data Coordinator supports assigned operational areas while contributing to excellent customer service, reliable data stewardship, and continuous operational improvement.

Assignments may include support for fundraising, alumni engagement, membership programs, events, constituent services, gift processing, or other operational areas as organizational needs evolve.

ESSENTIAL FUNCTIONS
DATA MANAGEMENT & QUALITY
  • Maintain accurate constituent and related database records.
  • Process constituent updates, data requests, and recurring database tasks.
  • Perform routine audits, reconciliation, and quality-control activities.
  • Review data for inconsistencies and resolve routine issues.
  • Escalate complex issues to the Operations Data Specialist.
  • Maintain assigned workflow documentation.
PROGRAM & OPERATIONAL SUPPORT
  • Support assigned operational programs through recurring data processes.
  • Prepare lists, imports, exports, and data files.
  • Assist with acknowledgements, recognition lists, reporting support, and operational workflows.
  • Coordinate assigned recurring tasks and deadlines.
  • Support special projects as assigned.
CONSTITUENT & INTERNAL PARTNER SUPPORT
  • Provide responsive customer service to internal and external constituents.
  • Answer routine questions related to assigned operational processes.
  • Collaborate with campus partners and internal departments.
  • Communicate data requirements and established procedures clearly.
  • Support assigned operational areas while maintaining organizational data standards.
CONTINUOUS IMPROVEMENT
  • Identify opportunities to improve assigned workflows.
  • Communicate recommendations to the Operations Data Specialist.
  • Participate in implementation of new processes and documentation.
  • Support organizational initiatives that improve efficiency and data quality.
EDUCATION & EXPERIENCE

Education: High school diploma required. Associate's degree in Business, Information Management,

Communications, or related field preferred. Equivalent education and experience may

substitute.

Experience: Experience with CRM systems, databases, or similar software.

Microsoft Office proficiency with emphasis on Excel.

Nonprofit, higher education, fundraising, alumni, athletics, or membership experience.

PHYSICAL & COGNITIVE REQUIREMENTS

Ability to operate computers, telephones, and other standard office equipment. Ability to focus and complete work in a timely manner. Ability to travel independently via car and air. Ability to occasionally bend, stoop, squat, and lift or move objects up to 10 pounds.
