Position Overview
This is a hybrid position based in downtown San Francisco. The role requires up to four days per week in the office, depending on project and program needs. Tuesdays and Thursdays are designated in-office days, with additional in-person days scheduled as needed.
The Data and Systems Manager leads Enterprise for Youth’s data systems, evaluation processes, and reporting practices to support strong program delivery, storytelling, grant compliance, and organizational decision-making. This role will analyze data to identify opportunities for improvement and turn findings into recommendations. This role also builds and maintains the technological and operational systems that the Program team relies on– and trains staff to use those systems.
This role works closely with Program, Development, and Leadership teams to ensure staff have the information they need to understand program impact, tell Enterprise for Youth's story, and improve services for young people. A key focus of the role is creating and maintaining dashboards that provide Program, Development, and Leadership teams with timely and relevant information. The role engages directly with young people through focus groups and feedback opportunities– in addition to other support as needed.
Enterprise for Youth is looking for candidates with strong analytical and problem-solving skills, exceptional attention to detail and commitment to data quality, and the ability to communicate complex information clearly to technical and non-technical audiences. Candidates should have strong project management and organizational skills, as well as a collaborative, proactive, and solutions-oriented approach.
Core Responsibilities
Data Collection, Evaluation & Dashboards
- Lead data collection and evaluation processes across programs (for all pertinent stakeholders), including attendance and program completion, pre- and post-program surveys, internship application and confirmation forms, evaluations, and youth focus groups.
- Input data directly into a variety of different platforms, and oversee data entry from other team members
- Design and maintain proactive dashboards that provide meaningful insights to Program, Development and Communications, and Leadership teams.
- Analyze quantitative and qualitative data to identify trends, themes, and opportunities for improvement.
- Share analysis in clear, accessible formats that support data driven decision-making.
- Identify opportunities to replace manual reporting with more efficient systems and dashboards.
Analysis & Reporting
- Translate data into clear reports, visualizations, and recommendations.
- Develop reports for the program team, grants team, leadership, funders, and external partners on a scheduled and as-needed basis
- Support Development with required government, contract, and grant reporting.
- Partner with Communication teams to use data for storytelling
- Facilitate regular data reviews with the entire staff
Data Management
- Ensure accurate collection of attendance, participation, demographic, and outcome data.
- Manage participant, employer, supervisor, and program records in Salesforce.
- Conduct regular data audits and maintain data quality standards.
- Identify and resolve data issues with applicable team members.
- Establish clear data definitions, documentation, and processes across the organization.
Youth Feedback & Engagement
- Facilitate youth focus groups and other feedback opportunities, capturing insights from current and past participants.
- Create youth-facing materials that explain how feedback informs program improvements and share them with young people directly. Support building a culture where young people understand that their voices inform and shape Enterprise for Youth's programs.
- In partnership with program team, build out alumni tracking and surveying system
- Attend programming, events, and school-based activities as needed.
Systems Creation & Administration
- Serve as the primary administrator for Salesforce, Formstack, Google Workspace data tools, and other program technology platforms.
- Understand the various processes and workflows the program team needs to succeed (e.g. internship application and placement process, warm hand off processes between programs), offer thought partnership to program directors and managers, and create effective systems to ensure young people get what they need
- Lead the creation and oversight of each of the application and application review processes for all of Enterprise for Youth’s programs
- Partner with the Operations Manager to manage technology vendors and evaluate future systems, including CRM, ATS, HRIS, and reporting platforms.
- Identify opportunities for streamlining data creation and reporting through consolidation, automation, dashboards and digital tools
Training & Capacity Building
- Train staff on Salesforce, Formstack, reporting tools, data practices, and workflows.
- Create documentation, procedures, and resources to support consistent use of systems.
- Establish org-wide standards for forms, including required fields, naming conventions, and data entry.
- Build staff confidence using data to improve programming and supplemental opportunities.
- Introduce innovative systems to maximize efficiencies and optimize team inputs (e.reduce manual inputs and tracking sheets)
Supervision
- Supervise at least one part-time Program Assistant supporting data-related projects.
Measures of Success
- Data definitions and reporting practices are standardized.
- Program data is accurate, complete, and consistently maintained, and data dashboards are current, accessible, and used by staff to make decisions.
- New dashboards and reporting tools are created proactively based on organizational needs, and staff understand how to access the information they need.
- Program systems are streamlined and run effectively and efficiently, reducing administrative burden, and the team understands how to use them
- Evaluation activities are completed consistently and generate useful insights.
- Required reports are accurate and submitted on time.
- Program improvements are informed by data, youth feedback, and evaluation findings.
- Data supports strategic planning and organizational decision-making.
Qualifications
Required:
- 5- 8 years of progressive experience in data management and systems administration with a preferred focus on data related to youth development, workforce development, education, and/ or nonprofit programming
- Experience administering CRM or database systems (Salesforce strongly preferred), form-building platforms (ie: Formstack), workflow/ database tools, and at least one data visualization tool (such as Tableau, Power BI, UpMetrics, or Looker Studio)
- Advanced proficiency with Google Sheets and/or Excel, including: pivot tables, formulas, lookup functions, data validation, and query functions
- Demonstrated experience building dashboards and reports for different audiences.
- Experience with data imports, exports, integrations, and system configuration.
Preferred
- Bachelor's degree or equivalent experience
- Master's degree in Education, Nonprofit Administration, Information Systems, Data Science, Public Administration, or a related field
- Experience in youth workforce development, internships, career readiness, or work-based learning
- Compensation: Annual salary of $80,000, plus a comprehensive benefits package.
