Job Description:

As a professionally minded student leader, you will serve as a representative of the Office of University Advancement, responsible for ensuring a culture of excellent customer service. You will be primarily responsible for reception, administrative, and project based work. If you have experience in reception, database entry, excel spreadsheets, and enjoy repetitive clerical tasks, this may be the opportunity for you!

Work schedule for this position requires 10 hours minimum (with additional hours available; max 20 hours per week) for Spring 2025).

Responsibilities:

  • Welcome and greet alumni, donors, and visitors to the Office of University Advancement.
    • Provide guidance and direction to visitors with a welcoming and friendly lobby/reception experience.
    • Offer guidance and direction to conference rooms for large meetings
    • Facilitate notifying building staff of their guest arrivals and deliveries.
    • Dress professionally (business casual attire).
  • Professionally answer and direct calls to the appropriate faculty or staff person, or to the appropriate school, department, or unit, respectively.
  • Complete administrative assignments, including but not limited to:
    • Updating alumni and donor information (address, phones, emails, employment, volunteerism, death, etc.) within a database while ensuring entry processes are followed and entered information is accurate and complete.
    • Using department resources/tools to perform data clean-up, append, and/or verification within Excel documents in preparation for mass import/upload.
    • Filing and scanning, as needed.
  • Other duties, as assigned.

Qualifications:

  • Experience working in a professional office environment.
  • Excellent customer service, positive attitude, and professional appearance.
  • Strong attention to detail and accuracy with excellent organizational skills. Ability to problem-solve and manage project details.
  • Analytical and detail oriented with a proven record for producing quality work within timelines.
  • Exercise independent judgment, decision making abilities, and a high level of confidentiality.
  • Excellent communication and interpersonal abilities.
  • Proficient in MS Word, Excel, and Outlook/Email.

Physical Demands:

  • Intermittent physical activity including bending, reaching
  • Prolonged periods of sitting or standing.
  • May lift and/or move up to 25 lbs.

Schedule:

The Office of University Advancement is open between the hours of 8:30am and 5:00pm Monday through Friday. This opportunity requires you to be able to commit to a regular schedule of 10-20 hours per week. Work schedule for this position will be set and coordinated with the Director upon offer of hire.

Wage:

$7.50 - 9.75/hr

Hiring for Spring semester start with continuation into Fall semester. (Option to work summers is also available depending on registration status for Fall.)
