Job summary

Responsibilities

  • Allocate workloads within team to ensure smooth operations during peak activity or staff absence.
  • Proactively drive cross training and staff development.
  • Monitor compliance at all times to regulations, including OPS and customer policies.
  • Monitor duty deferment usage and levels.
  • Promote productivity tools (e.g., edoc, processes, and systems).
  • Ensure all new business is transitioned correctly.
  • Maintain a positive relationship with the Trade Compliance Manager and support compliance trainings.
  • Audit files in accordance with OPS or customer requirements.
  • Follow up refunds with customs authorities.
  • Send client report requests through the available database.
  • Provide content for customer reviews.
  • Be open to implementing new system changes and enhancements.
  • Participate in staff appraisals, at least annually.
  • Ensure new hires complete mandatory training within 6 months.

Job Description

To support the customs brokerage manager in the smooth running of the department within the branch (ie) the customs product in the marketplace through focus on Operations, Finances, Sales, People, Systems, and Culture. To stay in adherence to the company’s policy, procedures and business code of conduct.

  • Allocate workloads within team to ensure smooth operations during peak activity or staff absence.
  • Proactively drive cross training and staff development.
  • Monitor compliance at all times to regulations. This includes internal policies and procedures such as Operational Process Standards (OPS) and external government regulations or customer policies/requirements.
  • Monitor duty deferment usage and levels.
  • Promote productivity tools (e.g., using edoc, customs database, process management, customs system, PSM, Customer Profiles, AI Agents)
  • Ensure all new business is transitioned correctly.
  • Maintain a positive relationship with the Trade Compliance Manager and support all compliance efforts and trainings.
  • Promote productivity tools (e.g., using edoc, process management, usage/Expo custom)
  • Audit of files in accordance OPS or customer requirements
  • Follow up refunds with customs authorities.
  • Send client report requests through the available database (expo request, expo reporting)
  • Provide content for customer reviews
  • Be open to implementing new system changes and enhancements into your department.
  • Participate to staff appraisals, and at a minimum once per year per employee.
  • Ensure that the new hires complete company’s mandatory training within the first 6 months.
  • Other tasks/duties as deemed appropriate by your management team.
Physical Demands

  • Be a knowledge expert of our technology, and drive and adopt throughout the department
  • Actively seeking or is certified in industry certification
  • Regularly request additional responsibilities to support the team and the department
  • Spend approximately 80% of their time in direct operations and 20% on development and training
  • Continually identify areas to improve efficiency
  • Achieve standard of 52 hours training per year, including all mandatory trainings
  • Drive and develop customer relationships to exceed their expectations
  • In conjunction with supervisor, manager, identify, develop, and mentor your number 2.
  • Have a sense of urgency, be willing to help by offering solutions
  • Support the manager in sales, retention, reporting, accounting, where needed.
  • Ensure company credit procedures are followed and utilized effectively.
  • Promote compliance policies and regulations
Qualifications
  • Effective interpersonal skills, including proven ability to listen, comprehend, effectively communicate clearly and concisely to obtain positive results
  • Ability to work independently and in a collaborative team environment
  • Good computer skills (Word, Excel, and familiarity with PowerPoint)
  • Must be legally authorized to work in the United States
  • Must not require future sponsorship for employment Visa
  • Must have the ability to work overtime in support of department needs
  • Fluent in English, both written and verbal. Multilingual a plus.
  • Ability to multi-task and prioritize throughout the workday while remaining focused and organized
  • Demonstrated ability to be pro-active in thought and action
  • Analytical with strong attention to detail
  • High School Degree or equivalent required
  • Passed background check
  • Must be 18 years of age or older
