Job summary

viaPhoton is seeking a dependable, customer-focused Order Coordinator in Naperville, IL. You’ll be the day-to-day contact for customers, guiding orders from quote to delivery and ensuring on-time arrivals. This role requires clear communication and strong ownership of the customer experience.

You’ll collaborate across Sales, Engineering, Manufacturing, and Logistics to keep orders on schedule, provide proactive updates, and resolve issues quickly. A passion for service and detail is essential.

About the Role

You’ll be the day-to-day point of contact for our customers, guiding every order from quote to delivery. This is ownership-focused work: you keep customers informed, coordinate across every viaPhoton team, and make sure each order arrives on time. And when something slips, you’re the one with a plan.

• Support customers from first quote to final delivery, processing quotes and purchase orders accurately and on time
• Serve as the customer’s single point of contact across Sales, Engineering, Manufacturing, and Logistics
• Communicate delivery timelines, order status, and updates proactively so customers always know what to expect
• Monitor deliverables across the business, including manufacturing partners, to keep orders on schedule, and offer clear alternatives when something slips
• Take ownership of the customer experience, resolving issues quickly and following through to the end

What You’ll Bring

• Bring excellent written and verbal communication skills and a customer-first mindset
• Have strong organizational skills and attention to detail across multiple orders and deadlines
• Bring a strong sense of ownership, with a bias toward action and follow-through
• Have experience in customer service, order management, or account coordination (a plus)
