Job summary

Pinal County is seeking a dedicated Office Administrator to handle public records, client inquiries, and permit processes. You will coordinate with multiple departments, explain zoning requirements, and ensure accurate data entry for applications and site plans.

Responsibilities include greeting customers, researching data in County databases, and maintaining confidentiality. A high school diploma, 3 years of clerical experience, and AZ residency with a valid license within 30 days are required.

Qualifications

  • High school diploma or GED required.
  • 3 years of progressively responsible general office and clerical experience recommended.
  • Arizona residents must have a valid AZ Driver’s License upon hire; within 30 days if new resident.
  • Equivalent combination of education and/or experience may substitute for the minimum requirements.
  • Knowledge of business English, spelling, and arithmetic.
  • Knowledge of clerical and office practices and procedures.
  • Skill in using data processing systems and other office equipment.
  • Ability to follow written and verbal instructions.
  • Ability to communicate effectively orally and in writing.
  • Ability to establish and maintain effective working relationships.

Responsibilities

  • Answer all phone calls coming into the main line.
  • Greet and meet customers at the counter or office.
  • Complete all public records as assigned and answer emails.
  • Research information in various County databases.
  • Check paperwork for completeness, explain requirements, assist with applications.
  • Check site plan setbacks and distances with an engineer scale.
  • Explain zoning and use per the ordinance to customers.
  • Enter application information into the computer system with the customer.
  • Make copies of applications and site plans for other departments.
  • Maintain absolute confidentiality of work and restricted County information.
  • Acts as a lead position to the Customer Service Specialist position.
  • Perform other related duties as required.

Perform a variety of tasks to enforce state regulations and County codes and ordinances governing land use issues.

  • Arizona residents must have a valid Arizona Driver’s License upon hire; newly established Arizona Residents must have one within 30 days of hire.
  • Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements
  • Knowledge of Business English, spelling, and arithmetic.
  • Knowledge of clerical and office practices and procedures.
  • Skill in using data processing systems and other office equipment and machines.

PHYSICAL DEMANDS

The work is sedentary requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The work also requires the ability to finger, perform repetitive motion, hear, speak, and demonstrate mental and visual acuity.

Work is performed in a safe and secure work environment that may periodically have unpredicted requirements or demands.

The hiring salary for this position is dependent upon experience, qualifications and position funding; starting salaries above the first quartile require additional approval.
