Job Title: Customer Service RepresentativeJob Description

We are seeking a dedicated Customer Service Representative to manage customer inquiries regarding order status, delivery dates, documentation, and account matters. The role involves coordinating pricing requests, preparing quotes, entering customer orders, and ensuring purchase order accuracy. Additionally, you will maintain organised records and assist with customer meetings and administrative duties.

Responsibilities

• Respond to customer questions regarding order status, delivery dates, documentation, and other routine account matters.


• Coordinate pricing requests and gather necessary information for quotes, including part numbers, drawings, quantities, and required timing.


• Prepare quotes and customer correspondence for review and approval.


• Enter customer orders and prepare order acknowledgements after pricing and commercial requirements have been approved.


• Compare purchase orders to approved quotes and identify discrepancies in price, quantity, revision, delivery requirements, or terms before acceptance.


• Collaborate with planning and operations to obtain accurate order-status information and communicate updates to customers.


• Follow up on open customer actions and elevate unresolved issues promptly.


• Monitor the general sales mailbox and website inquiries, ensuring each inquiry is assigned and answered.


• Maintain customer, quote, and order information in the ERP system, CRM, and other sales tracking files.


• Assist with customer meetings, follow-up actions, reports, and other inside sales administrative duties as needed.


• Maintain organised records of quotes, purchase orders, acknowledgements, and customer correspondence.


• Identify recurring customer-service or order-processing issues and work with the appropriate team to improve processes.

Essential Skills

• Proficiency in data entry and customer support.


• Experience with Microsoft Office, inbound calls, and customer service.


• Knowledge of inside sales, order entry, and call centre operations.


• Strong written and verbal communication skills.


• Attention to detail and ability to manage multiple tasks simultaneously.


• Comfortable coordinating across multiple departments.


• Working knowledge of Microsoft Outlook and Excel.

Additional Skills & Qualifications

• Prior experience in customer service, order management, sales administration, or inside sales; manufacturing experience is preferred.


• ERP and CRM experience is preferred.


• Ability to review purchase orders, part numbers, quantities, revisions, and delivery dates for accuracy.


• High school diploma or equivalent required; additional business or supply-chain education is preferred.

Job Type & Location

This is a Contract to Hire position based out of Weyers Cave, VA.

Pay and Benefits

The pay range for this position is $24.04 - $26.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
