Job summary

Pawnee Mental Health Services in Kansas is seeking an Office Clerk to greet visitors, collect payments, verify demographics, and support Zoom scheduling across Clay Center and Junction City offices.

The role involves cash handling, clerical tasks, and coordination of meetings and transportation as needed. Strong English communication and basic computer skills are required.

Qualifications

  • High School Diploma or equivalent required.
  • Basic computer skills required (MS Office, email).
  • Strong oral and written communication skills in English.

Responsibilities

  • Greet the public in person and on the telephone in a professional manner; provide information and direct inquiries.
  • Communicate Pawnee’s payment policies and collect payments; verify demographic information and required paperwork.
  • Set up for Zoom appointments; schedule/cancel appointments and coordinate with staff.
  • Balance cash receipts and report variances to Office Supervisor.
  • Perform general clerical duties and coordinate meeting rooms and company vehicles.

What You’ll Do
  • Greet the public in person and on the telephone in a professional and hospitable manner; provide general information, answer questions and direct individuals to the appropriate party as necessary.
  • Provide support to clients by communicating Pawnee’s payment policies and collecting payments, verifying demographic information, obtaining required paperwork, setting up for Zoom appointments, cancelling/scheduling appointments and ensuring all questions or concerns are directed to the appropriate staff.
  • Monitor clients in the waiting areas and report any concerns to Office Supervisor.
  • Balance the cash receipts as scheduled. Report variances to Office Supervisor.
  • Perform general clerical duties such as typing correspondence, processing mail, photocopying and scanning documents, reviewing the next day’s schedule and prepare the required paperwork for each client, scheduling meeting rooms and company cars, and scheduling contractors as either required for assigned office or upon request.
  • Cooperate as an active member of the support staff team and participate in cross training to help control fluctuating workloads or staff shortages. This may include temporary assignment to other agency offices, within reason.
  • Maintain and advance personal knowledge and skills related specifically to position or to field of work by regular reviewing pertinent materials or participating in training events as approved by supervisor.
  • Adhere to the standards, policies and instructions established by PMHS Policy and Procedure and any applicable ethical codes within field of employment.
  • Review and comply with the Pawnee Code of Conduct outlined in the Employee Handbook.
  • Perform other reasonably related duties as assigned by immediate supervisor or other management personnel.
Office Schedule: Clay Center 3 Days/ Junction City 2 Days

Qualifications
Required
  • High School Diploma or equivalent
  • Basic computer skills
  • Strong oral and written communication skills using the English language
Preferred
  • Multi-lingual skills
  • Previous clerical experience and/or experience managing a multi-line phone system
  • Experience using Microsoft Office

Salary Description

$19.48 an hour
