Job summary

Pawnee Mental Health Services in Kansas is seeking a dependable office clerk to greet clients, answer calls, collect payments, and manage scheduling and paperwork. You will support front desk operations and coordinate basic administrative tasks with accuracy and professionalism.

The role emphasizes strong English communication, basic computer skills, and the ability to work as part of a collaborative team in a community health setting. A background check and drug screen are required.

Qualifications

  • High School Diploma or equivalent.
  • Basic computer skills.
  • Strong oral and written communication in English.
  • All employees will be required to submit to and pass a background check and drug screening.

Responsibilities

  • Greet the public in person and on the telephone in a professional and hospitable manner; provide general information and direct individuals as needed.
  • Provide support to clients by communicating payment policies and collecting payments, verifying information, and scheduling appointments.
  • Monitor clients in waiting areas and report concerns to Office Supervisor.
  • Balance cash receipts as scheduled and report variances.
  • Perform general clerical duties such as typing, mailing, scanning, and preparing paperwork for each client.
  • Schedule meetings and coordinate use of rooms and company vehicles as required.
  • Help as part of the support staff team and participate in cross training to handle fluctuating workloads.
  • Maintain knowledge and skills related to the position through training and reading.

What You’ll Do
  1. Greet the public in person and on the telephone in a professional and hospitable manner; provide general information, answer questions and direct individuals to the appropriate party as necessary.
  2. Provide support to clients by communicating Pawnee’s payment policies and collecting payments, verifying demographic information, obtaining required paperwork, setting up for Zoom appointments, cancelling/scheduling appointments and ensuring all questions or concerns are directed to the appropriate staff.
  3. Monitor clients in the waiting areas and report any concerns to Office Supervisor.
  4. Balance the cash receipts as scheduled. Report variances to Office Supervisor.
  5. Perform general clerical duties such as typing correspondence, processing mail, photocopying and scanning documents, reviewing the next day’s schedule and prepare the required paperwork for each client, scheduling meeting rooms and company cars, and scheduling contractors as either required for assigned office or upon request.
  6. Cooperate as an active member of the support staff team and participate in cross training to help control fluctuating workloads or staff shortages. This may include temporary assignment to other agency offices, within reason.
  7. Maintain and advance personal knowledge and skills related specifically to position or to field of work by regular reviewing pertinent materials or participating in training events as approved by supervisor.
  8. Adhere to the standards, policies and instructions established by PMHS Policy and Procedure and any applicable ethical codes within field of employment.
  9. Review and comply with the Pawnee Code of Conduct outlined in the Employee Handbook.
  10. Perform other reasonably related duties as assigned by immediate supervisor or other management personnel.
Requirements
Qualifications:
Required:
  • High School Diploma or equivalent
  • Basic computer skills
  • Strong oral and written communication skills using the English language

All employees will be required to submit to and pass a background check and drug screening.

Preferred:
  • Multi-lingual skills
  • Previous clerical experience and/or experience managing a multi-line phone system
  • Experience using Microsoft Office
