Job summary

Southwest Microwave, Inc. is seeking a customer service and administrative sales support specialist who will manage the order flow from intake to delivery and keep customers informed of status updates.

The role requires strong attention to detail and the ability to coordinate with multiple internal departments to meet customer requirements. Ideal candidates have at least two years in an office or customer service role, with exposure to shipping and data entry.

Qualifications

  • Minimum two years of office, customer service, order entry, or administrative experience.
  • Manufacturing experience preferred.
  • Experience with domestic and international shipments is a plus.
  • Proficiency with Microsoft Office and data entry/recordkeeping.
  • Strong communication, organizational and time-management skills.
  • Detail-oriented and able to resolve order or customer service issues.
  • Ability to learn procedures, systems, and product information and work in a team.

Responsibilities

  • Process and maintain customer orders, ensuring pricing, terms, shipping information, and customer requirements.
  • Prepare order acknowledgements and maintain supporting documentation.
  • Serve as a liaison between customers, Sales, Operations, Production, Planning, Shipping, Accounting, and internal departments.
  • Communicate with customers regarding order requirements, status, and updates.
  • Coordinate with internal departments to obtain production/shipment status and resolve issues.
  • Coordinate domestic and international shipments with carriers and freight forwarders with packing lists and tracking.
  • Process and coordinate RMA activities and maintain records.
  • Support CS and Sales with admin and operational activities.

Job Summary:

Provide customer service and administrative sales support throughout the customer order process. Processing and maintaining customer orders, communicating with customers, Coordinates with internal departments and maintains accurate order and customer records.

Job Duties:

Minimum job duties include responsibility for handling the following:

  • Review, process, and maintain customer purchase orders and sales orders, ensuring accuracy of pricing, terms, shipping information, and customer requirements.
  • Prepare order acknowledgements and maintain supporting documentation and updates throughout the order process.
  • Serve as a liaison between customers, Sales, Operations, Production, Planning, Shipping, Accounting, and other internal departments to ensure customer requirements are communicated and addressed.
  • Communicate with customers regarding order requirements, order status, production updates, shipping information, and other customer service needs.
  • Coordinate with internal departments to obtain production and shipment status, resolve order-related issues, and provide timely customer updates.
  • Coordinate domestic and international shipments with carriers and freight forwarders, including preparation of packing lists, waybills, tracking information, and other required shipping documentation.
  • Process and coordinate RMA activities, maintain accurate customer and order records, provide status updates, and communicate issues to the appropriate personnel.
  • Support the Customer Service and Sales departments with administrative and operational activities as required.
  • Perform other duties as assigned.
Skills/Experience:
  • Minimum two (2) years of office, customer service, order entry, or administrative experience; Manufacturing experience preferred.
  • Experience with domestic and international/export shipments is a plus.
  • Proficiency with Microsoft Office and computer-based data entry and recordkeeping.
  • Strong communication, organizational and time-management skills with the ability to prioritize multiple responsibilities and meet deadlines.
  • Detail-oriented, accurate, and able to identify and resolve order or customer service issues.
  • Ability to learn and apply procedures, systems, and product information and work effectively both independently and as part of a team.
Education:

HS Diploma or G.E.D. or equivalent combination of education and experience.

Physical demands:

Able to sit for long periods of time, with good hand/finger dexterity for typing/data entry. Must be able to lift up to 15 lbs.
