Job summary

Smardt Inc. in Phoenix, AZ, is seeking a Customer Service Coordinator for a 100% in-person role to support our North American customers and ensure smooth operations.

You will prepare and process orders, invoices, and POs, maintain Excel trackers, support inventory, and respond promptly to inquiries via email and phone. You’ll also handle vendor follow-ups and assist with RMAs, working with a global team to deliver outstanding service.

Qualifications

• Experience with MS Office and Excel.
• Experience with ERP Navision is a plus.
• Familiarity with project management tools (Monday.com/Jira).
• Experience with help desk systems (Freshdesk).
• Strong organizational skills and ability to manage multiple priorities.
• Customer-focused with excellent communication skills.

Responsibilities

• Prepare and process sales orders, invoices, and purchase orders

We are currently seeking an Customer Service Coordinator who is excited about supporting our teams, ensuring smooth operations, and delivering outstanding service to our customers.

Main Responsibilities

• Prepare and process sales orders, invoices, and purchase orders
• Develop and maintain forms and Excel trackers
• Support inventory updates
• Respond promptly to customer inquiries via email and phone
• Manage weekly vendor and customer follow-ups
• Contribute to customer satisfaction by ensuring quick, professional responses
• Provide support with quality and warranty tasks (e.g., RMAs)
• Liaise with customers across the North American market
• Perform other related tasks as assigned by your supervisor

Core Competencies & Skills
