JOB SUMMARY
Customer Relationship Coordinators support the Customer Relationship team by providing world class customer experience (CX) to Tier III customers through timely response and effective communication. They greet clients, address and route questions and concerns, partner with management and operations to solve basic customer issues, and perform other clerical duties as needed.
MAJOR/ESSENTIAL FUNCTIONS
- Provide timely support to laboratory technical and administrative staff by effectively addressing administrative and clerical needs.
- Greet and interface with customers via phone, email, and in person, ensuring a positive experience.
- Maintain a thorough understanding of the company finance system (NAV) and complete accounts payable tasks such as review, coding, and submission of vendor invoices.
- Ensure clients have a positive customer experience through proactive and professional customer service efforts.
- Execute administrative duties such as making and fielding phone calls, emailing documents, data entry, and other clerical functions.
- Use the CRM/CRS to ensure proper execution of the welcoming and onboarding process, accounting for accurate account setup and data entry into the laboratory information management system (ELEMENT / CRM / AXIS / CONTROL or any other relevant system).
- Field incoming leads and transfer them to the correct CRM/Sales system.
- Communicate and collaborate with technical staff to uncover solutions to client needs.
- Set up accounts, file documents, and ensure they are thoroughly and accurately completed.
- Assist with logging and tracking of client test samples and other materials received.
- Maintain office services by organizing office operations, preparing reports, controlling correspondence, and maintaining filing systems.
- Manage collections: daily address all late payments and review past‑due accounts.
- Confirm all orders have associated invoices entered into NAV; ensure no invoices are missing.
- Navigate third‑party invoicing systems (ARIBA, etc.) as required.
- Act as primary or secondary person to order supplies, receive them, confirm packing slips, and address issues.
- Coordinate building maintenance with outside services.
- Serve as primary person to answer phone and respond to inquiries from internal and external customers.
- Maintain supplies inventory, place orders, verify receipt, and keep an orderly storage system.
- Fill and complete documents such as chain‑of‑custody forms accurately.
- Proof reports and make corrections when necessary.
- Assist with various HR functions such as new employee onboarding.
- Contribute to team efforts by accomplishing related results as needed.
- Perform other duties and related tasks as assigned.
PREFERRED QUALIFICATIONS
- General knowledge of office systems.
- Strong computer skills, proficiency with Microsoft Word, NAV, and Excel.
- Ability to work well under pressure, manage multiple projects, and meet deadlines.
- Excellent customer service and communication skills.
- Excellent organizational skills and the ability to maintain neat and orderly systems and workspace.
- Positive, enthusiastic demeanor when interacting with internal and external clients.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent (required).
- Experience working with Microsoft Office Suite (required).
- Prior accounting experience or education (preferred).
- Prior customer service experience (preferred).
- Prior office administrative experience (preferred).
