Job summary

Bal Seal Engineering Foothill Ranch is seeking a Customer Relations & Order Management Representative to manage the order fulfillment process from receipt to shipment. You will work with Production, Planning, Shipping, Sales and other internal teams to deliver exceptional service in a manufacturing setting.

The ideal candidate has experience in manufacturing customer service, order management, and account coordination, with strong communication and organizational skills.

Qualifications

• Minimum 2+ years in customer service, order management, or related field.
• Must communicate clearly and stay organized under pressure.
• Ability to manage multiple accounts and competing priorities.
• Proficient with Microsoft Office and ERP/CRM systems.

Responsibilities

• Review and process customer purchase orders and enter into the system.
• Process quotes following pricing and lead time guidelines.
• Coordinate with outside sales to meet customer needs.
• Document all customer requirements accurately and timely.
• Investigate urgent order concerns and coordinate corrective actions.
• Communicate order status and delays to customers and internal teams.
• Support Sales, Engineering, Operations, Quality, and Finance to meet customer requirements.
• Follow up on requests to ensure timely resolutions.

Position Summary

We are seeking a Customer Relations & Order Management Representative to serve as a primary point of contact for customers throughout the order fulfillment process. This role manages customer orders from receipt through shipment, communicates order status and schedule changes, and coordinates with Production, Planning, Shipping, Sales, and other internal teams to provide excellent customer service in a manufacturing environment.

The ideal candidate has experience in manufacturing customer service, order management, supply chain coordination, production planning support, or account management. Success in this role requires strong communication and organizational skills, close attention to detail, and the ability to balance customer expectations with operational requirements in a fast-paced environment.

Responsibilities

• Review and process customer purchase orders by performing contract review, following internal guidelines, and entering sales order accurately into the system.
• Process quotes following established company pricing and lead time guidelines.
• Work closely with the outside sales team to ensure all customer needs are met.
• Ensure all customer requirements are properly documented.
• Investigate any urgent order concerns, coordinate corrective actions with the responsible teams, and follow through to resolution.
• Communicate order status, schedule changes, and potential delays clearly to customers and internal stakeholders.
• Coordinate with Sales, Engineering, Operations, Quality, Supply Chain, and Finance teams to support customer requirements.
• Follow up on customer requests and open issues to ensure timely resolution and a positive customer experience.
• Issues and tracks customer complaints and RMAs
• Performs any other related duties assigned

Required Qualifications

• High school diploma or equivalent required; associate's or bachelor's degree preferred.
• 2+ years of experience in customer service, customer relations, order management, inside sales, or a related field.
• Strong communication and organizational skills
• Ability to manage multiple customer accounts and competing priorities.
• Proficiency with Microsoft Office applications and ERP/CRM systems.
