We are seeking a highly organized, proactive, and relationship-focused Client Experience Manager to serve as the first impression of our firm. This role is a unique blend of relationship building, sales process coordination, clerical support, and event execution. We are looking for someone who can truly own the client experience, someone who believes in the mission and legacy that Brian Safdari has created for the families served by College and Wealth Planning Experts. Supported by our collaborative team of College Planners, Advisors, and strategic partners, you will have a unique opportunity to start in this role and continuously grow as our firm evolves.

Essential Job Functions
Client Experience & Front-Office Excellence
- First Impression: Serve as the warm, professional face and voice of our firm. Welcome high-net-worth clients, manage daily correspondence, and handle phone calls with care and a clear next step.
- Proactive Scheduling: Keep our prospect pipeline moving smoothly. Guide leads from our educational seminars into scheduled consultations, handle all post-event bookings, and follow up with digital leads.
- Calendar Management: Own the busy scheduling calendar for our CEO. You will protect his time by managing meeting caps and boundaries to keep his days productive and stress-free.
- Tech Savvy: Quickly learn and move between our software programs to keep things running efficiently and create a smooth, modern experience for our clients.
Meeting Prep & Client Lifecycles
- Meeting Prep: Take full ownership of preparing for Advisor Consults, Prospect Meetings, and Annual Reviews. Assemble and double-check all physical and digital files so our advisors can step into meetings completely prepared.
- Seamless Onboarding: Manage the onboarding and offboarding process for Wealth Management and College Planning clients. You’ll ensure paperwork is flawless, subscriptions are set up, and follow-up appointments are booked.
- Team & Partner Coordination: Work closely with Genessy (our CFO), our college counselors, and our marketing team. Together, you’ll help coordinate external partners, track digital leads, and monitor application workflows from start to finish.
- Meticulous Records: Maintain organized, compliant physical and digital filing systems that meet financial industry standards.
- Secure Data Handling: Process and safeguard highly sensitive client financial and personal information (like tax documents, FAFSA/CSS Profiles, and investment records) with total discretion.
- Event Planning: Manage the logistics for our public educational seminars and client workshops, including venue selection, scheduling, and catering.
- On-Site Support: Attend our events to manage the registration desk, set up the room, support our advisors, and confidently book appointments with attendees on-site.
Office Management & Business Support
- Daily Operations: Keep our physical office running beautifully. Handle opening and closing duties, manage office inventory and cleaning, process client invoicing, and keep track of internal expenses.
- Workflow Improvement: Keep a sharp eye out for ways to do things better. We want you to help refine our process workflows, finding ways to make the company more efficient and constantly elevating the overall client experience.

Qualifications
- Education: High School Diploma/GED required; Bachelor's degree or equivalent experience in administrative support/office management preferred. Financial planning, sales management, or college planning experience is a plus.
- Technical Proficiency: High comfort with technology, including CRM management and a foundational grasp of system integrations and reporting. Experience with Google Workspace, GoHigh Level, Financial Software is a plus.
- Compliance: Familiarity with SEC, FINRA, or state insurance department documentation and record-keeping rules, particularly for client communication and disclosure.
Job Type: Full Time, In-Person Compensation package:
- Hourly pay: $25 per Hour (based on experience)
- Employee benefits (medical, dental, vision, life insurance, other)

- Monday to Friday 9-5pm, some weekends
