Job summary

Saia is seeking a clerical and customer service assistant to support terminal operations in the United States. The role ensures shipment documentation is accurate, organized, and properly processed, contributing to smooth daily operations.

You will handle paperwork, respond to inquiries, assist drivers, and support the line haul team with administrative tasks in a fast-paced logistics environment.

Qualifications

Responsibilities

  • Prepare, print, scan, and organize documentation for terminal operations and dispatch.
  • Maintain filing and recordkeeping for shipments and terminal records.
  • Bundle and distribute paperwork for outbound shipments with operations staff.
  • Review outbound load paperwork for accuracy before dispatch.
  • Handle inbound calls and emails to resolve issues and ensure customer experience.
  • Arrange dock pickups and drops with operations staff.
  • Provide support to drivers for the line haul department.
  • Identify issues and escalate to prevent delays; assist with administrative tasks.

Position Summary Supports terminal operations through clerical and customer service activities while ensuring shipment documentation is accurate, organized and properly processed. Contributes to smooth daily operations by assisting with paperwork, recordkeeping and basic service requests.

Major Tasks and Responsibilities
  • Prepares, prints, scans, and organizes documentation for terminal operations and dispatch.
  • Maintains accurate filing and recordkeeping systems for shipments and terminal records.
  • Bundles and distributes paperwork for outbound shipments in coordination with operations staff.
  • Reviews outbound load paperwork to ensure accuracy before dispatch.
  • Handles inbound calls and emails to provide timely resolution and a positive customer experience.
  • Arranges dock pickups and dock drops for customers in coordination with operations staff.
  • Provides assistance and support to internal and external drivers for the line haul department.
  • Identifies paperwork or process issues, escalating as needed to prevent delays, and assists with administrative projects or special tasks as assigned.
Minimum Qualifications
  • Must be at least 18 years of age.
  • High school diploma or GED.
  • Authorized to work in the United States.
  • Read, write, communicate and comprehend the English language in order to perform the various tasks of the job, including but not limited to: converse with co-workers and members of the general public, including customers; understand oral and written instructions as well as governmental regulations; respond to questions and inquiries from management and government representatives; and accurately complete various documents, reports and records required of the position.
Preferred Qualifications
  • Transportation, customer service, or related experience.
  • Working knowledge of Microsoft Office.
Work Conditions and Physical Demands
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Works primarily in a terminal office environment with frequent computer and phone use.
  • Sits for extended periods while performing data entry and administrative tasks.
  • Walks through warehouse and dock areas as needed, with exposure to noise, dust, and varying temperatures.
  • Communicates regularly with drivers, coworkers, and customers in person, by phone, and electronically.
  • Occasionally lifts or carries office supplies or small packages up to 20 pounds.May be required to wear safety gear such as high-visibility vests, hearing protection, or safety footwear in operational areas.
  • Work hours may extend beyond the standard schedule during peak periods or to resolve service issues.

Pay Rate: $20.75 - $24.95 per hour, based on experience
