About the Role: Customer Care Coordinator II

We are looking for a Customer Care Coordinator II to join our dynamic team. As the primary point of contact for all rehab orders, you will ensure that all assigned orders are processed quickly, accurately, and efficiently, meeting our clients’ mobility needs. You’ll work closely with our Assistive Technology Professional (ATP) team to ensure optimal order processing, providing exceptional customer service and making a difference in the lives of those we serve. This role requires advanced communication skills, in-depth knowledge of our products and services, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:

  • Primary point of contact: Answer incoming calls from clients, therapists, payers, and ATPs.
  • Efficient order processing: Quickly and accurately process new order intakes.
  • Collaborative work: Upload order files for ATPs and ensure proper communication flow between staff to process orders effectively.
  • Document management: Request, collect, and review essential order documents such as Functional Mobility Evaluations (FME) and Letters of Medical Necessity (LMN).
  • Product knowledge: Conduct research on related equipment via vendor websites and stay familiar with all the products and services Numotion offers.
  • Leadership: Act as a mentor for other Customer Care Coordinators (CCCs), assisting with additional tasks and projects, including covering for team members in their absence.
  • Team coordination: Ensure smooth coordination of referrals and order structures within the team.
  • Effective communication: Maintain clear communication with all internal and external stakeholders involved in order processing.

Qualifications, Skills, and Experience:

  • Experience: Minimum of 3 years of experience in a fast-paced office environment.
  • Skills:
    • Advanced communication skills with the ability to manage complex interactions.
    • Proficient in Microsoft Office Suite and other technologies that optimize order processing.
    • Strong organizational skills with the ability to manage multiple priorities.
    • Knowledge and experience with complex medical equipment and the CRT industry.
    • Ability to think quickly, assess situations, and provide solutions in a fast-paced environment.
  • Leadership: Demonstrated ability to lead and assist other team members in a collaborative, professional manner.

Physical Requirements:

  • Ability to meet the essential functions of the position with reasonable accommodations as necessary.
  • Prolonged periods of desk work and computer use.
  • Ability to work overtime as needed to meet business demands.
