Essential Duties and Responsibilities
Scheduling, Waitlist and Classroom Organization
- Accountable for coordinating, scheduling, entering, maintaining (i.e. adds, cancels, and changes, such as faculty changes, room changes, & etc.), and ensuring the accuracy of the information for all curriculum courses and records.
- Serve as the project lead in using the College’s scheduling software, Ad Astra
- Maintain classroom section assignments in Ad Astra
- Keep classrooms organized and seating capacities accurate for scheduling and reporting
- Move students off of the waitlist and into designated sections as requested and notify the students that they have been moved off of the waitlist
- Serve as a communications liaison between the Registrar/Records Office and various college personnel including deans, directors, coordinators, advisors, counselors, both of the Associate Vice Presidents, and the Vice President for Student Success and Academic Affairs
Maintaining Courses and Programs of Study
- Maintain prerequisite/corequisite changes for all approved courses offered
- Keep current with changes to curriculum standards and courses made by the System Office
- Provide input and advice regarding courses and programs of study during Curriculum Council meetings
- Verify that curriculum changes meet state guidelines by reviewing articulation agreements, curriculum standards, and the Combined Course Library
- Submit to the system office yearly: 1. Programs for approval, 2. Active status requests for all new or revised courses
- Update state level changes as required by System Office program coordinators
- Builds and maintains all curriculum programs in the College’s educational database for student degree audits
- Responsible for yearly revisions to the “Programs of Study” and “Curriculum Course Descriptions” section of the college catalog and ensures that the programs of study in the catalog match what is approved by the state.
Other Responsibilities
- Responsible for yearly updating of programs of study in the NC WORKS for the Centralina Workforce Development Board
- Provide training to coordinators and deans as needed on Curriculum Standards and use of Combined Course Library
- Schedule meetings requested by faculty or staff in classrooms
- Special projects as requested by the Registrar/Director of Records
Knowledge, Skills, Abilities, Education and Experience Requirements
- Associate’s Degree in office administration, business administration, accounting, office technology, information technology, or a related field from a regionally accredited College or University
- At least two years of prior administrative office experience
- Proficiency in Microsoft Office Word and Excel (MOS in Word and Excel is preferred)
Preferred Requirements
- Bachelor’s Degree in business administration, accounting, information technology, education or a related field from a regionally accredited College or University..
- At least two years of experience in a community college or higher education environment
- At least one year of experience working the Ellucian Self-Service Student Portal or related portal system
Knowledge, Skills and Abilities to:
- The successful candidate must possess excellent oral and written communication skills along with being well organized and the ability to multi task
- Interpret and apply federal, state and local policies, laws and regulations
- Demonstrated accuracy in producing professional documents
- Work independently in the absence of supervision
- Demonstrated ability to work in a congenial and professional manner with students, faculty, and staff

- Environmental Expectations: The employee should be able to effectively handle a work environment and conditions involving an office and/or classroom workspace, working closely with others, and periodically working irregular hours.
- The employee must maintain the office and/or teaching environments by maintaining equipment and supplies, ensuring overall cleanliness, functionality, and conformance to OSHA standards to provide a safe work environment.
- Physical Expectations: Physical and marginal functions require the ability to maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following: standing, walking, or sitting for extended periods, moderate lifting and carrying, general manual dexterity, operating assigned equipment, and extended exposure to computer screens.
- The employee must maintain effective audio-visual discrimination and perception for making observations, reading and writing, operating assigned equipment, communicating with others, and handling varied tasks simultaneously.
- Scheduling Expectations: This is a full-time position, 12-month position, which requires the employee to be on campus for at least thirty-seven and half hours per week, Monday through Friday. This position generally works daytime hours but has the potential for occasional evening or weekend hours on any Mitchell Community College site (or arranged off-campus courses).
- Travel: Local travel is required, including between campus locations. Out-of-state travel is limited but may be necessary for special trainings/conferences.
